About the Role:


This is a wide and varied role, with a high level of autonomy, and will require a close working relationship with the PCN operations manager, clinical director & chairperson to the board of Colne Valley Primary Care Network Ltd.


The post holder is responsible for undertaking a wide range of administrative and coordinative duties, creating clear working relationships with PCN-based staff and engaging with PCN member practices to support a collaborative approach to service development, delivery and improvement.


You will be expected to navigate multiple PCN member surgeries and understand how each site needs to be communicated with; it is expected that the post holder will be able to manage conflicting needs and priorities.

Experience in HR, payroll, website and social media content would be desirable.


The role is based on an agile contract: working from home and attending meetings at surgery sites when the need arises.


Main responsibilities of the role include:

  • General Duties
  • Diarise and administrate meetings, including taking minutes for both the PCN meeting and PCN Ltd board meeting.
  • Coordinate incoming agenda items and inviting guest speakers.
  • Ensure distribution lists are kept up to date.
  • Contribute to, and embrace, the spectrum of clinical governance within the Colne Valley PCN and the Ltd company.
  • Provide administrative support to the operations manager and leadership team.
  • Work with the chairperson to the PCN board (ltd company) ensuring action log items (as per PCN minutes) are progressed.
  • Manage "protected learning time" events and organise PCNwide training.
  • Ensure the dissemination of information across the member practices support the administration of any shared learning events.
  • Compile PCNwide communications.
  • Create content and update the PCN NHS website with relevant information.
  • Assist in the creation and editing of written, video and photo content for social media, and coordinate this with member practices.
  • Maintain effective working relationships with all PCN staff, answering queries and passing on information.
  • Assist the clinical director with administrative support on PCN wide projects.
  • Coordinate PCN wide responses to information requests from the ICB.
  • Finance Administration
  • Work with the PCN accounts manager, based at Freshwell Health Centre, to complete a monthly Payroll report from IRIS, detailing PCN ARRS staff pay. Training will be provided.
  • Work with the extended access manager, based at Elizabeth Courtauld Partnership, and the PCN accounts manager, to coordinate incoming invoices for payment by the PCN, and keep an uptodate Excel spreadsheet.
  • SystmOne
  • Coordinate SystmOne clinical rotas for all PCN staff, making changes in good time, as the need arises.
  • Communicate any changes to rotas in good time, including sickness, annual leave, study leave and cancellation of clinics.
  • Act as RA administrator, including requesting and monitoring smart card usage.
  • Support PCN member surgeries with data quality issues relating to PCN contracts and enhanced services.
  • HR Admin
  • Assist the PCN operations manager with the induction and employment of new members of staff.
  • Carrying out DBS checks on new staff employed via the PCN.
  • Making IT service requests for new equipment as staff are employed.
  • Monitor the completion of all mandatory training and induction programs for new staff on Practice Index and report to the operations manager on any issues.
  • Set up annual leave entitlement for new staff onto Practice Index and coordinate yearly updates.
  • Report to the operations manager any requests for annual leave.
  • Monitor through Practice Index the completion of ARRS specific training, as set out in the DES Specification and report to the operations manager on any issues.
  • Set up and monitor study leave for ARRS staff on Practice Index.
  • Step up to support staff in the operation managers absence.
  • Offer administrative back up with delivery of extended access service requirements as the need arises.

  • Experienced administrators, with excellent IT and NHS or PCN experience.
  • Adaptable and friendly with strong administration, time management and organisational skills.
  • Excellent communicators who work in a confidential, discreet manner and are able to think on their feet in a busy working environment.
  • Able to multitask, work hard and maintain high level of attention to detail when under pressure.
  • Able to work as part of a multidisciplinary team, as well as comfortable working independently.
Some flexibility is required as you will sometimes need to work additional or alternative hours to cover for colleagues.
