The post holder will be responsible for the service administrative management and coordination of the Liver Transplantation programme within the South-West Liver Unit (SWLU).

Interviews will be W/C 16/01/2023.

Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification


To ensure patient centred quality care for all patients on the transplantation pathway, either undergoing pre-transplantation assessment or post-transplantation follow up.


Provide and deliver a high standard of full administrative service to the South West Transplant Centre team using a varied range of work processes and procedures.


To coordinate and arrange the multi-disciplinary meetings and conferences for the South West Transplant Centre, including peninsula-wide, regional and national events.

An exciting opportunity has arisen to join the nationally IQILS accredited Hepatology Team.

We have a wonderful opportunity for an experienced and motivated individual prepared to play a key role in supporting the day to day oversight and management of the administrative aspects of the Liver Transplantation service within the South-West Liver Unit.


The post holder will need to support the organisation and co-ordination of the Liver Transplantation administrative service, ensuring that resources are deployed effectively to provide a high standard of service.


The post holder will need to demonstrate a high level of attention to detail, excellent communication and organisational skills, and the ability to work with colleagues from a variety of professions and backgrounds and the patients and their carers that use the liver transplantation service.

The post holder will be expected to work flexibly to meet the needs of the service.

PRIMARY DUTIES & AREAS OF RESPONSIBILITY

Section - Service Coordinator

  • Provide operational support to the South-West Liver Unit Liver Transplantation service as required
  • To work with the hepatology team to develop and implement any new or updated processes, policies or procedures relating to transplantation
  • Triage the patient helpline and staff queries, resolving straightforward and administrative enquires and forwarding more complex and clinical issues to the most appropriate member of the hepatology team
  • To coordinate and arrange meetings and multidisciplinary events with referring centres and Kings College Hospital (KCH) liver transplant unit, which includes but is not limited to weekly listing meetings, complex patient MDTs, virtual listing / listing meetings
  • The post holder will coordinate and arrange educational meetings, and this will include sourcing funding, liaising with speakers and attendees, managing pharmaceutical company sponsorship, booking venue/catering, taking minutes and seeking feedback
  • To assist the liver transplant CNS to support the liver transplant patient pathway, which will include supplying educational information, making accommodation / travel arrangements and maintaining communication with all parties
  • To maintain and update the SWLU website in conjunction with the team
  • Work with service line management team to develop administrative procedures to enhance the smooth management of the department
  • Support and mentor junior members of staff

Section - Administrative Support & Coordination:

  • Full management of the transplant patient referral to treatment pathway, including the coordination of new referrals and inter-provider transfers, keeping relevant databases and iPM up to date with patient details, waiting list information and RTT status
  • PTL management for all patients on the liver transplant pathway
  • To complete all clinic typing for transplant assessment clinics, nurse led and medical clinics, and using time management to prioritise workload
  • Liaise with the Outpatient Appointment Centre (OAC) to ensure relevant clinics are fully utilised
  • To manage the administrative and booking aspects of the liver transplant assessment pathway, managing the assessment databases and tracking of referrals and appointments
  • Ensure that appropriate liver transplant clinic follow up is actioned i.e. outpatient appointments, investigations, add patients to waiting list, readmissions and referrals to other Consultants/departments
  • Regular coordination of liver transplantation waiting lists /PTL's within the framework of the Trust's Waiting List Policy and escalating concerns accordingly
  • Action data quality and other reports/performance monitoring as required by the Hepatology Service Line and clinical governance structures
  • To ensure that the outcomes from Liver Transplant related MDTs are collated and documented in individual patients electronic / medical notes and updated on relevant database
  • Ensure that all results, reports and letters are accurately filed in electronic folder /medical note
