As part of our growth strategy, we are now looking for a Project Administrator either in our
UK Offices (Bristol, Edinburgh), who wishes to join an international and fast paced company.


About the Project Administration team:
The Project Administration team aims to coordinate Project Support across the company.

By creating, maintaining, and improving standard project documentation, tools and processes, we enable Project Managers (PMs) and the wider project team to focus on their innovative work and achieve excellence in delivery.

There are three main areas of responsibility that we cover:

  • Project Support
  • Process implementation & improvement
  • Wider company support
Your key areas of responsibility


1. Project Support

  • Document Control
  • Preparing and processing incoming and outgoing project transmittals between Wood Thilsted and its clients, often through client specific document management software. Processing any Interface Requests and Technical Queries through client specific document management software. Ensuring all deliverables adhere to our Quality Management System, which is certified against ISO 900
  • Maintaining key project documentation creating and updating project management documents such as Master Document Registers, action trackers, risk registers etc.
  • Updating Project Management Software liaising with Project Managers and Work Package Leads to update:
  • Generating & presenting key project data/information
- using our Project Accounting software to produce reports and extracting data from trackers and registers to be fed into regular client progress reviews.

  • Resource Management Support
  • Supporting the Department Heads, Team Leads and Project Managers with ad hoc tasks such as managing the requests from the project team.

2. Process implementation & improvement

  • Creating generic, or project specific processes either independently, or in collaboration with the wider team, ensuring all processes are in alignment with key company and/or client requirements. This may involve creating flow diagrams on Visio, and/or writing out procedures in Project Management Plans.
  • Reviewing existing processes identifying improvements by making processes more efficient, automated, and easy to follow.
  • Creating & updating templates & tools using Microsoft Office (Word, Excel, PowerPoint), and interactive SharePoint apps such as Planner, Lists and Power Automate.
  • Knowledge sharing and ongoing support present new processes, tools and improvements to fellow colleagues or project team members, delivering ongoing support and feedback.

3. Wider company support

  • Quality Support
  • Supporting the quality manager with ad hoc tasks, such as updating the Non-Conformance and Client Feedback logs with incoming items from the quality mailbox and contacting PMs about Quality related requirements.


  • Bid Coordinator

  • Occasionally nominated as a Bid Coordinator on tenders, liaising with the Bid Manager to coordinate and delegate tasks, produce the tender presentation, and collate supporting documentation to key deadlines.

About you:


  • 12 years of previous Project Administration/Support and/or Document Control experience within a fastpaced team environment
  • Excellent organizational and communication skills (written and oral)
  • Outstanding time management skills
  • Good working knowledge of Outlook, Word, PowerPoint & Excel, Dropbox and Sharepoint.
  • Good working knowledge of Project Management fundamentals
  • Previous experience of using Project Management software to a reasonable level
