Helena Ward is looking to recruit a part-time ward clerk to join the team, working Monday to Friday.

We are looking for a committed and enthusiastic individual with excellent administrative skills to provide comprehensive and confidential ward administrative support to our team.

You should have excellent organisational skills, be adaptable to meet the changing demands of the unit and be able to work well both in a team and independently.

To provide an efficient and professional reception and clerical service which gives confidence to patients and their relatives


To include:

  • To receive patients and relatives in a friendly and courteous manner and provide relevant information to patients and relatives clearly and in a way that patients and relatives understand.
  • To answer all telephone enquiries, taking and relaying messages in a polite and helpful manner, taking action as appropriate.
  • To liaise with Nurses, Doctors, GP's and other members of the Department team obtaining and communicating necessary information accurately to assist the provision of a quality service for the patients.
  • To maintain the Hospital Electronic Tracking System for the tracing of health records.
  • To ensure patients main case notes are requested and or available at all times and documentation is filed therein appropriately following each episode of care inline with the Hospital Paper Management Policy.
  • To respond to case note requests in a timely and efficient manner ensuring confidentiality and security is adhered to at all times inline with the 'Freedom of Information Act 2000' and the 'Data Protection Act 1999'.
  • To maintain the admission book, inpatient board and patient details /appointments on the patient administration system efficiently so that there is timely and accurate information available at all times on patients.
