Overview:

As the Programme Coordinator you will serve as the key administrative functionary on site coordinating all aspects of the elite summer programme to ensure a positive experience by supporting the staff team and working with the host venue staff.

Reporting directly to the Programme Director, the role manages the day to day running of the site office, core administration and information systems and is the key contact point with various stakeholders.


The role would suit a natural communicator, a strong administrator and someone who has experience in event management or working in educational administration and is looking for a leadership role.


Key Responsibilities:


Student Safety:


  • Act as a positive role model for students, staff, and stakeholders, maintaining a consistent presence on and off campus.
  • Manage the day to day student records, attendance and absences.
  • Produce the relevant documents and risk assessments for the team to use for the daily activities and events.
  • Support the Programme Director in the daily oversight of the site safety.
  • Work closely with the venue teams on matters of safety.
  • Consistently follow Oxford Royale Safeguarding policy and process.

Representing Oxford Royale:


  • Act as an approachable, empathetic, and confident figure when dealing with students, reporting challenges responsibly and with integrity to the senior leadership team.
  • Uphold the values of Oxford Royale in all interactions, ensuring a positive representation of the company.
  • Work closely with the site conference team on a daily basis to successfully communicate key information and messaging.

Student Experience:


  • Support the staff team by providing them with the information and equipment to successfully execute their roles.
  • Think ahead at all times to ensure that the last minute changes to the timetable are limited and all parties are informed of any details of the event or activity.
  • Plan and execute a professional and efficient welcome, programme, graduation and departure for all students on campus.

Collaboration and Leadership:


  • Work closely with the Programme Director, the wider staff team and head office.
  • Maintain effective communication by promptly updating relevant teams on progress or changes.
  • Collaborate with Head Office on room allocations for academic, social, and living aspects of the program.
  • Work closely with the Head Office to facilitate an effective setup and close down of the campus and serve as the liaison for all procurement and logistics.

Administration, Systems and Compliance:


  • Undertake daily management of the student management system.
  • Manage the first aid equipment as the appointed person.
  • Monitor the timely upload of academic reports from staff, maintaining accurate and uptodate records.
  • Collaborate on staff training records, ensuring updates are communicated to Head Office.
  • Own the documentation folders ensuring that all records are stored appropriately and that the wider team has access to the relevant processes and guidance.


You will be required to work 50 hours per week across 6 days at one of our world-renowned college sites based in Oxford, Cambridge or London.

The role is fully residential during the six week summer school period with meals and accommodation provided.

Our courses run in sessions of 2 week duration from June to mid-August 2023.


Essential Qualifications / Experience

  • Completed at least A-Levels or equivalent examinations.
  • At least one year of higher education.
  • High level of IT proficiency.
  • Stakeholder engagement.

Desirable Experience

  • Working with Google Apps.
