  • Do you have financial management experience ? A University of Oxford department is seeking a new Programme Administrator to work full-time starting in early September until Christmas break
  • Duties:


CDT Programme Administration- O ffice Management- The worker has responsibility for the day-to-day running of the CDT office, including dealing with any issues or problems that may arise, as well as undertaking any additional management and administrative tasks as requested by the CDT Director or Industrial Liaison and Programme Manager, including attendance at meetings.

In addition, the worker is expected to represent the CDT at relevant meetings and promotional events, both internal and external to the University.- Financial ResponsibilitiesThe worker has day-to-day responsibility for financial management of the CDT and is expected to continually review and monitor the programme budget (in collaboration with the Industrial Liaison and Programme Manager), and budgets for individual activities and events, using Oracle Financials and Excel to a high level of competence.

Monthly financial status and activity reports will be generated and analysed by the worker, and reviewed with Programme Director and Management Committee (when appropriate).

The Programme Administrator is responsible for ensuring that all day-to-day financial duties for the CDT are undertaken, including the production of purchase orders and payment of invoices, monitoring and processing of accounts receivable tasks, input of journals when necessary, and having oversight of the project account as a whole.

The worker will also process expense claims for all academics, visitors and students involved with the CDT, ensuring adherence to the University's expenses and benefits guidance and to funder regulations.-Module Planning and Examination ResponsibilitiesThe worker works in collaboration with colleagues at Imperial College to ensure that the course materials are available for all modules on Canvas.

This includes such tasks as updating module schedules, distribution of pre-reading and course materials, and liaising with academic contacts regarding module agreements.

The worker is responsible for all the day-to-day tasks involved with module assessments and examinations.

The duties involved include liaison with the CDT Director for assignment approval, ensuring all submissions are logged and approved, ensuring assignments are sent to examiners for marking, and informing students of their results.

Database ManagementThe worker is responsible for management of student records on the CDT database, ensuring that it is kept up to date at all times, including the management of confidential student academic records and generation of reports as and when necessary.- Communication and Industrial LiaisonThe worker is expected to communicate at a high level, both in writing and orally, with academic partners and external contacts associated with the CDT and Imperial College, and to arrange, attend and take minutes at Committee meetings as directed by the CDT Director and Industrial Liaison and Programme Manager.

The worker also liaises regularly with colleagues at Imperial College to ensure effective running of the programme, regular reporting and accurate financial management, as detailed in the programme collaboration agreement.

Marketing and Events Management

  • The worker is responsible for making arrangements for events and publicity associated with the programme as and when required throughout the year, including assisting with planning and delivery of Departmental Open Days for prospective postgraduate students.

  • Good first degree or equivalent experience.
  • Experience of financial management.
  • Excellent computer literacy, including Office suite, data manipulation and analysis.
  • Excellent administrative, planning and organisational skills.
  • Ability to work on own initiative, without close supervision, yet to consult and collaborate as appropriate.
  • Ability to work accurately, particularly when under pressure, and to meet tight deadlines.
  • Willingness to learn new skills and undertake training as required.
  • Interest in and willingness to understand the needs of the Department and to contribute to improving processes.
