We have vacancies for two PA/Administration support apprentices in the Corporate Services Group and the Insight and Transformation Group working with the Deputy Directors and their teams.

Job description:

This is a fantastic opportunity to be part of the operational support network for 2 teams in the Institute.


Duties will include:

  • Diary management for senior leaders
  • Book hotel and travel for senior leads and team as required
  • Inbox management for DD as required
  • Supporting team Admin Support
  • Communicate with officials both internally and across other government departments and external stakeholders on behalf of senior leaders
  • Facilitation of meetings including minutes
  • Support internal and external stakeholder events
  • Coordination of team meetings and senior level briefings
  • Responsibility for correct visitor processes
  • Support Triage and Assessment submission day preparation and coordination where required
  • Support the management of team resource (Leave Charts, training etc)
  • Admin support inbox management
You will also be expected to lead on other ad-hoc admin requests when required, therefore flexibility is essential. The role will include occasional travel to other IFATE offices.


Person specification:


We are looking for a self-motivated individual who can work as part of a team and also manage their own tasks, to undertake administrative support for the Digital and Data Science Team and the Engineering and Construction Team.

You will also need to manage your own self development and be responsible for managing your study in line with expectations.

  • Excellent organisational skills
  • A responsible attitude and the ability to work on your own initiative
  • The ability to understand and categorise a range of team information
  • Excellent oral and written communication skills and share ideas and information in an accessible way

Desirable skills and experience

  • Proficient in a suite of Office 365 packages including Outlook, Excel, PowerPoint and Word


Working flexibly is important to the success of the IfATE, and while you will have specific responsibilities as set out above, you will be part of a 'one team' approach and may be asked to be involved in a range of other activities.

As new areas of work progress, you may be asked to move between teams to deliver the Institute's key priorities.
