JOB PURPOSE


This is a new role working in the Services Compliance team due to the increase in volume of work required to move this young company into its next stage of ensuring administration and documentation is organised and available for the business.

The administration including in this role will change over time as the business develops. The role will require excellent attention to detail and an ability to own tasks and liaise with colleagues in the business


KEY ACCOUNTABILITIES

  • To act as the key Administrator for Statutory Compliance Library
  • Setting up this Statutory Compliance library using an interim solution and centralising data from all over The Arch Company business and identifying where there are gaps
  • Liaising with The Arch Company Teams where missing documentation is identified, ensuring this is provided in a timely manner
  • Ensuring the data is captured using an accurate naming convention to ensure in the longer term this data can be uploaded into the final business system solution for this library
  • To monitor and sense check statutory certification is correct and is in date, as well as identifying when this document will require renewing
  • On renewal ensuring this is coordinated with the contractor and relevant person in The Arch Company Estates Management team
  • Alongside the Statutory Compliance Library, using this data to provide lettings packs for any upcoming new lettings by The Arch Company, with a full suite of required documents.
  • Ensuring these packs are prepared and available on time, working with the relevant person in The Arch Company Estates management Team
  • Work with the project team in the roll out of any new systems around this library or lettings packs
  • Collate, analysis and provide reports on the statutory compliance library and lettings packs for the business with the ability to form reporting using excel data at an advanced level including but not limited to pivot tables and index volumes of data
  • Owning the data flow as situations change with new lettings and terminations to ensure the library and lettings packs are always current
  • Assist with training for The Arch Company staff on the library
  • Support line manager and Technical Services Manager in the collation and management of all core data particularly in the areas of the statutory compliance and inspections
  • Assist the Inspections administrator in the daytoday admin requirements of the SFM Inspections
  • Assist all members of the team daily, proactively offering support in addition to covering holiday periods of other administrators.
  • Monitor specific mailboxes and coordinate / raise reactive orders for the operational team
  • Prepare adhoc correspondence for teams
  • Deal with adhoc admin requests from line manager and The Arch Company teams
  • Other general administration duties as per business requirements

KNOWLEDGE, SKILLS AND EXPERIENCE

  • Attention to detail and ability to deal with large volumes of data must have excellent excel skills
  • Ability to work alone but also an Excellent team player with experience of working in an office environment
  • Good numeracy and literacy skills
  • Ability to prioritise tasks and take ownership of ensuring tasks are completed on time
  • Ability to liaise at all levels within the business
  • Adaptable and Proactive approach to workload
  • Advanced levels of experience of using Microsoft Office including Word, Excel, PowerPoint
  • Experience of using facilities management system
  • Understanding of statutory compliance
  • Good spoken and written English
  • Knowledge of FM systems, Reactive and Planned Maintenance, Asset registers and statutory certification requirements is desirable
  • Diligent, with attention to detail
  • Organised and responsive in a fastpaced environment
  • Good interpersonal skills and ability to work well in a team
  • Ability to use initiative and have ambition to learn and progress
  • Flexibility towards the changing demands of the workload
