Role Purpose:


The National Portrait Gallery's Heinz Archive and Library is an important research facility which houses a unique collection of reference material relating to British portraiture, including 80,000 prints and drawings, 600,000 photographic and other reproductions of portraits, collections of artists' papers and research papers, the official records of the Gallery and a library of 40,000 books, 150 periodical titles, and a collection of rare books.


Reporting to the Librarian, the Library Assistant has day-to-day contact with the public and other Gallery staff, and is responsible for providing them with an efficient and friendly information service.

The post holder will spend the majority of their time in the Public Study Room at the enquiry desk completing tasks, including assisting the Librarian with managing library stock, caring for and providing access to the resources.


Key Accountabilties:


  • Invigilating, in conjunction with other Archive and Library staff, the Public Study Room:
  • Keeping the appointments diary
  • Answering preliminary enquiries in person, by telephone and in writing
  • Providing general introductions and assistance
  • Ensuring that conditions of access are observed and that fragile materials are handled safely
  • Ensuring that visiting researchers, members of the public and staff can access the information they require
  • Helping to maintain facilities in good order (e.g. photocopier, computers, finding aids, reference material, microform equipment)
  • Reshelving books and other library materials
  • Processing and maintaining library stock, making basic amendments to library catalogue records.
  • Checkingin newly received periodical issues.
  • Assisting the Librarian with stock management tasks including preservation activities, rationalisation or reorganisation of book stock, and contributing to other ongoing projects working with books, periodicals and other published materials as required.
  • Assisting the Librarian in daytoday oversight of circulation (processes associated with library borrowing by Gallery staff).
  • Assisting the Librarian with the preparation of binding orders.
  • Undertaking adhoc projects and any other duties that may be required by the Senior Archive & Library Manager or the Librarian.
  • The Library Assistant may be asked to provide support to volunteers recruited and supervised by the Librarian.
  • Promoting sustainable working practices and reducing the environmental impact of the Gallery's operations in line with its Sustainability Statement.
  • The above list is indicative but not exhaustive. As such, in addition to the key accountabilities and responsibilities listed the post holder may be required to perform other duties commensurate with the scope and/or level of the role_
