Reporting into:
Guest Experience Manager


Role & Responsibilities

  • To ensure that all ongoing daily tasks and individual allocated jobs in the administration department, including the daily checklist are dealt with efficiently and within the timeframe set.
  • To deal with all correspondence, queries, or complaints with past or present guests and inform and follow up with the relevant departments giving clear instruction and/or alerting any concerns to management.
  • To create and send messages to guests in relation to all required operations notifications via PMS or Outlook express.
  • To assist and support site staff at all locations and liaise with the Operations Team daily.
  • To ensure that maintenance systems and schedule is being followed and completed to a high standard.
  • To process information received and distribute/communicate all information to relevant site teams, management & directors.
  • Use PMS and CRM computer systems to assist with daily tasks.
  • Prepare and supply any administration paperwork for site staff as and when required.
  • To assist with answering Head Office switchboard and dealing with telephone calls generally.
  • To comply with all company policies and procedures.
  • Manage and support the CM's with the inspection and damage process and assist with collecting evidence, chasing payments and communicating with guests.
  • Manage and review the welfare tracker daily and support our onsite teams with any welfare concerns.
  • Assist CM's with managing incidents or difficult guest behaviour onsite by reviewing CCTV, collecting evidence, arranging meetings or making phone calls to residents to resolve.
  • Prepare and manage September check in and out process along with all relevant paperwork for all sites.
  • To help arrange and support site staff with viewings and visitor show rounds on request from directors & management.
  • Be the champion for the health, wellbeing, and safety of our guests.
  • Be competent with social media platforms with the ability to run/manage our Facebook lives, Instagram Lives etc.
  • Working with the Guest experience Manager to deliver face to face and virtual sessions to our guests on a range of themes and encourage strong engagement across our portfolio.
  • Be visually present at our centres on a regular basis to ensure you are the face of Study Inn, whether that be facilitating an event or to support CM's with our guests.
  • Creating the social event calendar for each academic year to include arrangements with suppliers, ordering decorations, food & equipment, sharing new ideas, promoting, and assisting on site team CM's to deliver.
  • Creating and sending surveys to guests and reviewing results to set new goals and make improvements.
  • To carry out any other duties that may be required from you from time to time to meet the needs of the business.
  • Overall, be a nice kind and caring individual, with a passion to engage with others and make our guests experience the best in the sector.

Competencies

  • Proven IT skills knowledge of Microsoft Office (Word and Excel).
  • Strong organisational and clear communication skills
  • Experience of an Administrator role ideally within a call centre or hotel environment
  • Fluent in another language is desirable but not essential.
  • Must have a full UK Driving license and be in a position to drive.
Office working hours vary between 8.30am pm, Monday - Friday.

Working, for this role the working hours will vary dependent on the needs of the business as the role will involve occasional travelling to sites to attend events which will be held in the evenings and weekends.
