Description
Our client is a Charity that take on historic places in danger and carefully and sensitively restore them - they require a part time (3 days a week pref) or 5 shorter days for 3 to 6 months.
The Estate Administrator is responsible for supporting the Estate Manager with the full range of administration duties deemed appropriate for the role.
Duties and responsibilities
- Maintain a database of potential tenants, liaising with interested parties and where necessary, placing and managing the response to adverts
- Manage grazing licences or farm business tenancies
- Manage licences with owners of adjoining land for uses such as parking
- Ensure land assets are let to their full potential and any additional uses are carefully managed and rents collected in a timely manner
- Assisting the Estate Manager with the project management, coordination and delivery of new buildings
- Assisting the Estate Manager with the sale of land, buildings and longterm leases
- Day to day 'people management' of tenants being the first point of contact for all commercial, residential and grazing tenants should any problems or issues arise
- Organisation and instruction of contractors for reactive works, regular maintenance and statutory testing in line with regulations
- Liaison to arrange rent payments, arrears resolution, new tenancies, DPS releases, inventory challenges, invoicing, rent reviews and increases or deductions
- Organisation of court papers to ensure any issues with tenants are quickly resolved in favour
- Maintain records and the Commercial Estate Terrier to ensure the target levels of rent are met and ideally exceeded
- Ensure they are compliant with current legislation and be aware of any changes to such laws
- Ensure that rents are paid and debts collected, robustly resolving any issues
- Monitor when Rent Reviews are due and ensure that these occur through liaison with the Estate Manager
- Liaison with Regional Managers regarding property issues, utilities and supply contracts for estate properties
- Obtain all necessary licences and permissions to ensure that any work undertaken has full consent including felling licence, Conservation Area consent, TPO consent, Scheduled Monument consent, Environment Agency, English Heritage
- Obtain and coordinate quotes and tenders from subcontractors, preparing letters of engagement and as requested, monitoring progress on works
- Organisation of all works to grazing land such as fencing, water supplies and boundary works
- Undertake all the supporting administrative requirement for the Estate Manager including: mapping and researching land issues, supporting land sales, collating and analysing data, ordering maps etc
- Act as first point of contact for the Estate Manager, responding to and resolving queries
- Organise business meetings between the Estate Manager and external companies / contractors
- Organise transport arrangements for the Estate Manager and undertake general administrative duties as directed by the Estate Manager
- Liaison with Booking Office regarding works, travel, supply issues, land management issues or boundary changes that could affect guests before or during their stays
Person Specification:
Education
A level qualified or equivalent
Good standard of literacy and numeracy
Experience
Essential:
Previous experience of an administrative/ co-ordination role where initiative is required
Desirable:
Experience within a property/ land management/ estates management environment or possibly a legal firm
Desirable:
Proven experience of liaising with outside parties for quotations

Good telephone manner
Advanced proficiency in Word and Intermediate in Excel
