    An exciting administrative opportunity has arisen to joinThe Mid Yorkshire Teaching NHS Trust's Quality & Safety Team.

    We are looking for a dynamic, motivated, committed andproactive individual who has an eye for detail to join our team as a PatientSafety Administrator to work in an administrative role and support thePatient Safety portfolio.

    The post holder will be part of the Quality and Safety teamworking closely with all other teams within Corporate areas, as well as withmultiple clinical areas across the Trust. The new Patient Safety IncidentResponse Framework (PSIRF) is data driven therefore this role is invaluable inidentifying key themes and trends.

    Experience with using Datix or other Patient Safetyapplication is an advantage, but not essential, as full training will beprovided.

    The post in the Quality & Safety function is an idealplatform to learn and develop within the patient safety field, from anadministrative perspective.

    Interviews will be held on Monday 10th June 2024.

    Main duties of the job

    The post holder is responsible to the Patient SafetyIntelligence Manager and the Matron for Patient Safety for providing anefficient, accurate and timely patient safety management process.

    The post holder will ensure confidentiality at all times inadhering to the Information Governance Policy within the Trust. The post holder will be expected to work flexibly across thewider team in order to support learning, improvement and assurance work.

    The post holder will be expected to manage their ownworkload on a day to day basis within agreed objectives. They will need to havean ability to determine priorities, deal with conflicting tasks and achievedeadlines. They will be able to identifyfuture tasks and work needs, whilst providing a friendly and approachableservice for all users, internally and externally.

    Job description

    Job responsibilities

    The post holder will ensure that accurate datachecking procedures are followed within the Datix system.

    The post holder will communicate with all levelsof staff following any queries/concerns with the Datix incident managementprocess escalating any concerns to the Patient Safety Intelligence Manager or Quality& Safety Analyst.

    The post holder is responsible for extracting andmanipulating information from the Datix system in order to fulfil basicrequirements of the Trust.

    Analyse data extracted from Datix, identifythemes and trends and support the Patient Safety Intelligence Manager in thedelivery of basic reports.

    Due to a high volume of patient/staffidentifiable information, the post holder will maintain confidentiality at alltimes.

    Demonstrates effective communication toward/department staff, to ensure data is accurate within the patient safety form.

    Supports the administrative process of learningfrom excellence.

    Responds to routine telephone enquiries in aprofessional manner.

    Ensure timely uploading of incidents to theLearning from Patient Safety Events/National Reporting Learning System.

    Ensure accuracy of the pressure ulcer incidentmanagement process.

    Assist with general Datix admin requestsincluding but not limited to password resets, new account creations etc.

    Support the Divisional teams with the incidentmanagement process as and when required.

    Attend, contribute to and facilitate team meetingsand weekly safety huddles.

    Facilitate meetings including agenda and takingminutes as and when required.

    Any other duties within the Quality & Safetyteam of the role appropriate to the grade as requested by Patient SafetyIntelligence Manager.

    Monitoring the central email account andresponding appropriately using own initiative and escalating as necessary.

    Maintain the Patient Safety inbox and liaisewith other Trusts and the CCG on internally and externally reported incidentsand ensure the Interface Incident spreadsheet is populated and updated andfeedback is sent.

    Respond to all queries, correspondence andtelephone calls in a timely and professional manner. Initiate action wherepossible and report progress as appropriate.

    Demonstrate their knowledge and expertise tosupport others within the team.

    Ensure high standards of confidentiality aremaintained in accordance with trust policies and procedures at alltimes.

    Support the development of the Quality & SafetyTeam Intranet pages, ensuring documents are up to date.

    Work independently within agreed processes andstandard operating procedures and make decisions on the necessity of escalationto their manager.

    Assisting in the preparation of data andinformation for monthly/quarterly/annual reports and projects.

    Be willing to undertake training for specificand generalised processes within Datix configuration as and when required tosupport the team.

    Review and destroy old records (annually) inline with the Trusts retention policy.

  • Experience of working within a complex administrative role and office environment.
  • Experience of providing full Administration/facilitation of meetings to a Committee/Group, including production of an agenda, taking minutes, etc.
  • Experience of working in an environment with minimal supervision.
  • Able to demonstrate extensive use and excellent knowledge of Microsoft Office packages ( Access, Excel and Word) to produce fairly complex documents, analysis and regular reports.
  • Working knowledge of Datix (Patient Safety System).

  • Experience of using computer packages such as Ecamis, Symphony, SystmOne to locate and extract information as required.
  • Experience of dealing with telephone enquiries both difficult, sensitive and complex.
