Job Description and Person Specification
Fleet Administrator
Purpose:
Responsible for maintaining a fleet of vehicles, working alongside the existing Fleet Manager (with the view of developing into this role within the next 12-18 months) and Mechanic to facilitate all necessary requirements to ensure we are operating in accordance with legislation and regulations.
Key Tasks
- Responsible for managing and coordinating a fleet of approx. 100 vehicles, including pool vehicles (all below 3.5tonnes)
- Communicating with Compliance / HR team to ensure appropriate insurance is in place for Drivers and vehicles
- Implement, manage and maintain a strict vehicle maintenance and servicing schedule to minimise downtime
- Improve current vehicle check process and ensure completion and return of paperwork
- Full control of mechanics diary including inputting of services / MOT's
- Communicate fleet maintenance with departmental managers / directors
- Monitoring driver behaviour and reporting back to management for action to be taken where necessary
- Work closely with mechanic to ensure accurate records are maintained of vehicle inspections, services etc.
- Communicate with Fleet Manager / Mechanic / Director in regards to vehicle requirements, make recommendations for replacements etc. in order to improve costefficiency
- Other such reasonable duties as instructed.
Qualifications required:
- GCSE/A levels (or equivalent)
- Must hold full UK drivers licence
Experience and knowledge:
- Business management and logistics experience
- Excellent understanding of fleet compliance
- Familiar with FORS requirements
- Previous experience in a similar position (Essential)

- Highly organised and professional in approach with a keen eye for detail
- Excellent communication skills
- Assertive and confident, dealing with director level
- Proactive in thinking and approach
- Robust, committed and commercially minded
- Flexible and able to adapt to the needs of continuously shifting goals
- A passion for fleet with a vision to develop
- Good IT skills (Microsoft Packages)
Hours of Work:
- 45 hours a week (8am5pm)
- Days worked will be flexible dependant on the needs of the role
