Job Title:
Finance & Office Assistant (Maternity Cover)
Reporting to:
Finance Manager
Working hours:21 hours per week
Salary:
£14.50/h - £16/h (dependant on experience)
Main purposes of job:
Overall
- To support the effective and efficient management of accounting systems for Oasisplay and its activities
- To implement the established financial controls
- To promote and support sound financial probity throughout Oasisplay
- To support the effective and efficient implementation of HR systems for Oasisplay and its activities
- To maintain up to date and accurate records for all staff and volunteers.
- Support the administration of the salaries and the management of the pension provision.
- Provide general office administration.
- Complete the data entry of the accounts transactions to bought ledger, sales ledger and nominal ledger.
- Maintain accurate hard copy records of all expenditure
- Ensure efficient collection of debts due to Oasisplay ( credit management)
- Issue invoices and keep accurate records for all Oasisplay services.
- Manage the fixed asset register
- Maintain employee records according to policy and legal requirements
- Manage the online record HR record keeping system
- Recruitment
- Be actively involved in recruitment by preparing Job descriptions, posting ads and managing the hiring process
- Support the induction and settling in of new employees
- Support the maintenance of facilities.
- Manage and order essential supplies for the main office and other sites as required.
- Maintain and administer the utilities accounts across the four Oasisplay sites.
- Maintain and disseminate Oasis's agreed policies and Code of Practice.
- Contribute towards financial monitoring for all external grant funders as required.
Person Specification:
- An accountancy or finance management qualification. (ESSENTIAL)
- Knowledge of accounts software SAGE or willingness to learn. (ESSENTIAL.)
- Knowledge of HR functions (pay & benefits, recruitment, training & development) (DESIRABLE)
- Experience of working in a charity setting (DESIRABLE)
- Ability to manage administrative tasks in an efficient and effective manner. (ESSENTIAL)
- Problemsolving and decisionmaking aptitude (ESSENTIAL)
- Excellent time keeping and reliability (ESSENTIAL)
- Ability to work autonomously and as part of a team. ( ESSENTIAL)
