A Hybrid working model

Department Summary
GPS is the creative production building based in the heart of Soho.

We have teams of offline editors, colour graders, 2D artists, CG & MGFX artists, sound designers and of course producers to manage the jobs.


We get involved with production as early as possible in order to advise on the best route through what can be a complex process.


What does a Bookings Coordinator do at Hogarth?


The Bookings Coordinator will be responsible for placing jobs on our operators across multiple disciplines and assist with the scheduling of projects.

This person must consider both client and operational needs to optimise resource utilisation and revenue.

They will need to give sound advice on the appropriateness of bookings and resources; and always be able to negotiate and offer alternatives.


This person must be able to provide an immediate response to queries and supply accurate information about staff availability & facilities accordingly.


Responsibilities

  • Schedule video, audio and studio work from multiple production departments as requested
  • Keep oversight of the schedule; so resources can be allocated & utilised in an efficient, fair and costeffective manner
  • Look ahead and flag any potential resource or workflow challenges
  • Liaise with Producers to collate relevant information for operators to enable them to work (brief, script, technical specifications, timing plans, job & project numbers, font information, etc.)
  • Ensure that all operators are informed of what jobs they're working on at any particular time and have allocated workstation/suite and license daytoday
  • Liaise with global offices when overflow resource is needed
  • Maintain a cordial relationship with external recruitment agencies & book freelancers with relevant and high quality skills when required
  • Obtain finance approval, arrange freelance contracts, submit IR35, setups and NDA forms

Reporting lines and key stakeholders
This role reports to the Head of Bookings. You will work closely with various levels of Management, Producers, operators and operational teams.


Requirements:


  • Bookings and/or Producing experience
  • Experience using an industrystandard Scheduling software package (Farmerswife preferred)
  • Good working knowledge of Post-Production processes and services
  • Excellent time management skills & multitasking abilities with an attention to detail
  • Able to adapt to new working methods, practices and emerging technology advances
  • Form and maintain great collaborative working relationships with post producers, operators & clients
  • Proactive, positive attitude towards problem solving amid tight deadlines and as part of a close knit team
  • Strong negotiation and communication skills
  • A clear understanding of the meaning of customer care/service and a desire to deliver
