    Job Overview:

    Assist the Pensions Secretariat Team in delivering exceptional governance services for the Group's UK Pension Plan.

    Key Responsibilities:

  • Prepare standard quarterly trustee and committee agenda papers, load meeting agendas and papers to the online board portal.
  • Create minute templates, format documents, and support the production of presentations.
  • Schedule Trustee Board/Committee and Working Group meetings.
  • Manage Trustee Administration tasks, including processing expense claims and booking hotel rooms.
  • Schedule training sessions and maintain the group Trustee Training log.
  • Assist in logging and managing complaints under the Internal Dispute Resolution Procedure (IDRP).
  • Circulate Discretionary Death Benefit information on the online Board Portal and manage responses.
  • Collaborate on the trustee appointment process with the Pensions Secretary – Operations.
  • Take notes and maintain action logs for internal meetings.
  • Finalize governance documents and keep them up-to-date on the online board portal.
  • Assist in monitoring the Scheme Documents Review planner and coordinate the signing of documents.
  • Support the Pensions Secretariat Team with the annual scheme return process.
  • Your profile:

  • 1+ years' experience of providing administrative support.
  • Excellent attention to detail, ensuring timelines, accuracy, and reliability.
  • Proficient in using IT systems for data creation and integration (Word, Excel, Microsoft Teams, PowerPoint).
  • Proactive approach to recognizing and responding to changes in requirements.
