About the role
We are looking for someone to join our Admin team onsite in London as a Team Assistant.

The purpose of the role will be to ensure that the Senior Leadership team that you are assisting have the most efficient, effective, and appropriate support they need and ensuring our clients receive the best possible service.

You will work in close collaboration with the rest of the team to gain substantial insight and experience in the investment consulting industry.


  • Please note that this role is office based as it requires you to be on hand for all in office tasks. We are only able to consider applicants who already have the right to work in the UK and are based in London, without the requirement for additional sponsorship._

What you can expect to be doing in this role:

  • Supporting the CEO and Deputy CEO_
  • Extensive diary management for CEO and Deputy CEO
  • Arranging and reconfirming meetings. Ensuring pre reads are collected and distributed ahead of time
  • Resolving calendar clashes and prioritising as necessary
  • Liaising with clients, prospects, business partners and so on
  • Room bookings, attendee lists, catering
  • Inbox management responding, flagging, actioning and filing
  • Travel flights, hotel, trains, taxi, visas (if required)
  • Gathering and preparation of documents
  • PowerPoint, Excel and Word
  • Expenses
  • CSR arrangements annual schedule of client service reviews. Liaising with client, scheduling meetings, room bookings, along with prep and debrief. Ensuring relevant documents are available ahead of time
  • Scheduling interviews
  • Booking restaurants for breakfasts, lunches and dinners
  • Event management where attending conferences as delegate or speaking
  • Overseeing and managing Shareholder meetings
  • Maintaining the Senior Management Team action log and ensuring actions are completed in accordance with the relevant deadlines.

  • Scheduling all Board related meetings
  • Board, ARCC and RemCo
  • Quarterly formal meetings
  • Monthly business updates
  • Informal catch ups between Chair and internal employees
  • Adhoc meetings involving Board members
  • Assisting in preparation and distribution of all board related documents
  • Filing all documents in SharePoint and sharing necessary documents with auditors when required
  • Maintaining the Board action log and ensuring actions are completed in accordance with the relevant deadlines.

Requirements:


This role is for you if you

  • Are curious and keen to learn
  • Have a high level of confidentiality and discretion
  • Have strong project management and organisational skills
  • Have experience supporting Senior Executives and Board members
  • Are confident using MS Office (Outlook, Word, Excel, PowerPoint)
  • Are Detail Oriented you love to cross the t's and dot the i's
  • Are a great communicator who is approachable and friendly
  • Are proactive with a 'cando' attitude
  • Are persistent and able to see things through to completion
  • Are quick to learn, quick to understand and quick to evaluate
  • Are experienced in office administration
  • Are a selfstarter who requires mínimal supervision
