This role requires an experienced professional secretary who has a flexible approach to work and the ability to prioritise and work on their own initiative.
Responsible for all aspects of secretarial and administrative support to clinical and medical staff in relation to patient care.The post holder will be based on Beech Ward, a female inpatient ward at Sherwood Oaks.
The post holder under the supervision of the Admin Team Leader & Ward Manager will be responsible for ensuring that accurate work is completed within the time limits, framework and standards set, providing an administrative service for the ward.
Provide cover in the absence of colleagues and where service demands, this may include occasional cover at other sites.
To work within the provisions of the Trust Health and Safety Policy.

Provide an efficient secretarial/administration/reception support service
To deal efficiently with all correspondence, monitoring telephone enquiries and providing information as appropriate.
To ensure patient admissions/discharges are processed and to timely input, update, maintain information and resolve queries on the patient database.
To undertake office duties including diary management and message management, opening and distributing mail, operation of brought forward systems, production of documents, typing and audio typing, photocopying, collating of documents and electronic filing as well as general administration support services.
Using Microsoft excel produce reports, graphs, charts as requested
To ensure patient's notes are pulled, requested and tracked in a timely manner in preparation for the ward reviews and ensure any follow-ups are actioned
To support clinical staff to ensure that data is recorded onto RIO in line with data quality and timeliness requirements, as indicated by the Trust.
Produce high quality reports within agreed deadlines as required
Facilitate meetings/investigations/disciplinaries including producing and circulating agendas, recording attendance and accurate minute taking
Arrange transport for patients as required. Arrange translation services when required
Ensure all patients are given an admission pack and carers are provided with appropriate information
Ensure all new staff are given ward induction booklets
To be able to work flexibly and provide cover which may include the requirement to travel to different sites
To collect and maintain accurate team information with regards to performance and any other database relevant to ward area
To manage, update and maintain diary schedules, ensuring that conflicting and amended appointments are actioned appropriately.
To ensure clinical/medical records are filed in line with Information Governance procedures
Booking courses, accommodation and travel requests as and when required
Responsible for ensuring that accurate work is completed within the time limits and standards set
To work effectively both independently and as a ward team member
Responsible for own Mandatory Training requirements
Resolve or signpost queries from patients, carers, internal departments and external agencies as appropriate
To undertake any other duties that would be a reasonable expectation of the role
