- Administrative Management:
- Oversee day-to-day administrative operations of the care home, including managing schedules, appointments, and resident records.
- Maintain accurate and up-to-date resident files, ensuring confidentiality and compliance with data protection regulations.
- Coordinate with medical professionals, social workers, and other external parties involved in resident care.
- Financial Management:
- Assist with financial tasks such as billing, invoicing, and resident fee management.
- Work closely with accounting personnel to ensure accurate financial record-keeping and reporting.
- Monitor budgets and expenses, identifying areas for cost-saving initiatives where possible.
- Staff Support:
- Provide administrative support to care home staff, including scheduling, payroll processing, and maintaining personnel records.
- Facilitate staff training sessions and ensure compliance with relevant regulations and policies.
- Act as a point of contact for staff inquiries and concerns, fostering a supportive work environment.
- Communication and Customer Service:
- Serve as a primary point of contact for residents, families, and visitors, addressing inquiries and concerns in a timely and compassionate manner.
- Communicate effectively with residents and their families regarding administrative matters, such as admission procedures, billing inquiries, and resident activities.
- Collaborate with other departments to ensure seamless communication and coordination of care services.
- Regulatory Compliance:
- Stay informed about regulatory requirements governing care homes, including health and safety standards, licensing regulations, and resident rights.
- Ensure compliance with relevant regulations and guidelines through regular audits and reviews.
- Assist with the preparation of documentation for regulatory inspections and accreditation surveys.
- Bachelor's degree in business administration, healthcare management, or related field preferred.
- Proven experience in administrative roles, preferably in a healthcare or long-term care setting.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication and interpersonal skills, with a customer service-oriented approach.
- Proficiency in office software applications (e.g., Microsoft Office Suite, electronic medical records systems).
- Knowledge of healthcare regulations and compliance requirements.
- Ability to work collaboratively as part of a multidisciplinary team.
