ABOUT TRAFALGAR THEATRES

Trafalgar Theatres is the venue-operating division of TE.

We currently operate 16 venues, including 14 in the UK regions:
the Trafalgar Theatre in London's West End and the Theatre Royal in Sydney. We're growing fast, we're confident in what we do, and we're ambitious about the future.

  • Fareham Live is currently under construction. Once completed, it will be a multiuse venue consisting of a main house with 800 seats, a second space with 120 seats, and additional space for classes and events. The venue will also have café and bar spaces and will be fully accessible and modern. It is expected to open its doors in the autumn. Roles in new venues are highly sought after, and being a part of the opening team is a unique and special opportunity.

ABOUT THIS ROLE

  • The Theatre Administrator's contribution to achieving Fareham Lives financial and service targets is to provide robust, cohesive, and comprehensible systems of administration, HR, and internal communication. The administrator post is at the heart of the venue's relationships with promoters, hirers, and event organisers and is the conduit for eventcritical information between internal and external stakeholders.

  • VENUE ADMINISTRATOR

KEY RESPONSIBILITIES

  • Responsibility for disseminating information on policy and procedures, as required by the Theatre Director, As well as the onboarding of new employees, including offer letters and contracts, and managing the induction process for all new starters at Fareham Live
  • Under the guidance of the payroll department, maintain and submit all required payroll information, ensuring all venue staff are paid accurately and on time.
  • Liaise with the company's HR policies and guidance. Provide support to the Theatre Director and line managers on managing work performance, disciplinary, grievance, and employment issues.
  • To attract, hire, and retain top talent and support recruiting managers as needed with staff engagement, including advertising, references, and righttowork checks, while ensuring compliance with regulations.
  • Production and dissemination of accurate and timely minutes of all meetings, as required
  • Provide general administrative support to the Theatre Director and senior management team as required.
  • Ensure accurate and timely creation, dispatch, and return of contracts, invoices and settlements for shows and events.
  • Prompt and accurate preparation and distribution of financial and sales data, including daily ticket and sales reports, sales trackers, and advance sales reports to producers and promoters.
  • Ensure accurate and timely processing of timesheets, overtime, and expense claims per company policy.
  • Control of budget lines for the Administration Department, including training, office equipment, postage, and uniforms; monthly reconciliation and management of company credit card usage.
  • Maintain and keep uptodate electronic and manual personnel records for all venue staff in accordance with Company guidance and data protection legislation.

Programme co-ordination

  • Accurately and efficiently prepare, disseminate, and monitor the return of show contracts, advances, settlements, and ancillary correspondence, as appropriate.
  • Maintain and grow positive working relationships with clients and potential clients, including commercial and community promoters, producers, and hirers, enabling continuing programme liaison in the Theatre Director's absence.
