We have an exciting opportunity for an Administration Team Leader to join our team based in

Plymouth.

We are looking for an enthusiastic and motivated individual who is able to manage a team of administrators efficiently.

It is essential that you enjoy detailed work, have good communication skills and knowledge of Microsoft Office systems, particularly Microsoft Excel, Word and Outlook.

Previous experience in an administrative based role as a Team Leader would be desirable but is not essential.

Peninsula Dental Social Enterprise (PDSE) are an award-winning Social Enterprise and Community

Interest Company.

We provide NHS treatment and outreach services to local communities in Devon and Cornwall and we work closely with the University of Plymouth's Peninsula Dental School to support the clinical education of its dental healthcare students.

Administration Team Leader


Grade: 4

Reports to:
Clinic Manager


Responsible for:
Plymouth Admin Team


Role summary:

Based from the Plymouth Dental Education Facilities, the main objective of this role is to oversee the dental administration team and ensure they are providing exceptional standards of administration duties across both Plymouth sites.

This includes ensuring cohesive working practices with other locations in terms of process and support.


This role includes but is not limited to; patient interaction including appropriate use of patient management system, call handling, appointment booking, student and clinician liaison and general reception duties/administration support.

The post holder will be directly responsible for the motivation, support and training of all dental administration staff.

This is a multi-functional role with the expectation that a hands on approach is taken, actively participating in the delivery of these functions where appropriate.


Key accountabilities:


  • Effective line management of administration staff including all appraisal, performance management and formal processes.
  • Organise administration staff rotas to ensure effective cover during clinic and non
- clinic time.

  • Develop and support standardisation of administration processes throughout
Peninsula Dental Social Enterprise

  • Assist the Clinical Governance and Operations Manager in resolving patient complaints
  • Work with Clinic Liaison and Planning Manager to ensure effective wait list management, appropriate patient referrals and pathways to students and other clinicians.
  • Ensure effective and compliant use of practice management system for whole admin function in PDSE.
  • Provide the administrative support and management of the team to ensure general administrative duties and support for the general running of the Dental Education
Facility

  • Meet targets and deadlines set by Senior Management Team
  • Carry out reception duties including dealing with staff, dental students, patients both in person and on the telephone, in a courteous and efficient manner
  • To ensure that all information relating to patients, staff and students gained through
DEF employment is kept confidential

  • Assist with the administration of patient satisfaction questionnaires, research and audits
  • To undertake any necessary training in support of the duties of the post holder
  • Responsible for ordering stocks and supplies using an electronic ordering system
  • Role may include some cash handling
  • Organises tasks and activities, including maintaining the appointment book to make optimum use of clinical time and patient treatment
  • The post holder will be required to work at or attend meetings at all of the DEF's in the Peninsula
  • The post holder will be required to attend training locations away from their main place of work

Knowledge, Education and Training:


  • Further education qualification in relevant field preferred but industry experience acceptable if able to demonstrate the skills,
