    Purposeof the Role:

    The HSDC ClinicReception Team (CRT) is a key member of the Harley StreetDermatology Clinic (HSDC) Team. They areresponsible.

    for supporting the overall Receptionfunction within the clinic so that patients are seen safely andswiftly. Playing

    a crucial part in the daytodayrunning of the clinic; alongside The Dermatology Partnership (TDP)Central Bookings Central Admin Team (CAT)

    Team:the CRTs role is key in delivering an efficient and professionalfirstclass patient experience.

    The ClinicReception Team is a member of the overall HSDC clinic team. Thisteam member will work wholly at HSDC ClinicLocation

    Overall Responsibilities: (See attachedlist)

    Patient Journey

    RunningReception and Setting Up Clinics as per Standard OperatingProcedure

    Checking in patients onarrival

    Message the doctor when the patientarrives via WhatsApp/Soon to be the Phone system

    Preparing & setting up the clinic in themorning

    Printing doctors clinicschedules

    Check rooms are ready and equippede.g. Cryo/Dictaphones (If HCA is not available)

    Patient Questionnaires(PQs):

    Appointments

    BookFollow Up appointments

    Reschedulingpatients

    Cancellation of appointments asdirected by the management team

    Be responsiblefor the recall management of all patients

    Endofday clinic responsibilities regarding appointments as perStandard OperatingProcedure

    Bookings

    Booking Procedures and treatments as per Standard OperatingProcedure

    Patch Testing

    Phototherapy Treatments (UVB or PUVA)

    MoleMapping and Nurseled Single Mole Checks

    BloodTesting / Venesection and other nurse tests

    Aesthetics

    Cryotherapy

    OtherProcedures

    Financial &Billing

    Tills and Invoicing upon patientsleaving

    Selffunding patients

    Insured patients

    DiagnosesCodes

    CCSC Codes

    Post / Mailmanagement all letters needing posting (which will be found in theusual folder LTS/Already emailed to be posted) are to be printedand posted on a daily basis.

    prescriptions needto be printed daily for the doctors in the clinic on that day therein these need to be signed by dr the same day and actionedaccordingly (complete spreadsheet post Rx etc).

    Ensure an accurate audit trail around all patient documentation andcommunication. All paper copies are to

    be scannedas per clinic protocol into patient electronic notes within thePractice Management System as

    standardpractice.

    All referrals (electronic or postal)are to be managed as per clinic protocol prior to contactingpatients.

    This ensures not only good customerservice but also reduces the potential for incidents and mistakesto

    occur.

    Understanding ofinternal referral process and adhering to it

    Completing accurately Consultant Referral and Charge Sheet andunderstanding the consequence ofeither

    incomplete inaccurate or no completion ofthis Sheet

    Candidateprofile:

    An accomplished teamplayer with excellent communication skills use of initiative andthe ability to work at pace with

    a high level ofaccuracy. Good numeracy and administration skills are essential. Afast learner with experience in

    highendhealthcare services and an understanding of the importance of thepatient journey.

    Team Player has the ability tomultitask prioritise problem solve and delegate within the cliniccoordinator and bookings team.

    Relationships Ahighly engaging individual who can quickly build relationships withpatients and colleagues.
