Main Responsibility

  • Build strong relationships with the key personnel who regularly utilise our service and on an ad hoc basis, attend any review meetings with clients to support your Strategic Account Manager (SAM).
  • Should have key customer KPI management and adherence.
  • Escalate where there is a risk of service failure or high dissatisfaction levels to SAM and ensure a preventative measure/solution is proposed postinvestigation.
  • Support SAM with the management of the customer tracker for performance review meetings.
  • Ensure any complaints are uploaded into AssetSmart using the CRM function and ensure they are closed as per the service level agreement.
  • Any ad hoc exceptional requests where a quotation at the point of request is raised, ensure your SAM has signed to approve in advance of submission.
  • Deal with any vehicle delays and other issues notified by Dispatch, liaise with the customer to advise of the issue and any action being taken.
  • Input new bookings for clients and make amendments to the system for existing bookings.
  • Review cliententered bookings to check they are workable; intervening and offering alternatives where the booking is not workable.
  • Review customer complaints to ascertain the issues and what happened, providing a full breakdown and solution where appropriate.
  • Input new vehicles promptly, so that vehicle is ready to be used as soon as it is delivered.
  • Running daily reports for both internal and external use, including checking booking requirements.
  • Run daily defleet reports and communicate to client cars that are due to be defleeted in the forthcoming period and will be returned to the client.
  • Arranging for clients / Sales team to come and collect vehicles (paperwork and moving vehicle).
  • Dealing with the fieldbased teams for our Clients in arranging rolling programs with customers.
  • Managing several client inboxes.
  • Fleet management under the instructions of the Strategic Account Manager.
  • Answering telephone calls for other brands where required and during busy periods.
  • Dealing with daily issues with vehicle deliveries and damages.
  • Dealing with PCN and speeding fines that the head office receives (N.I.P management).
  • Various administrative tasks, as required to cover any absence or high workload.

Key Skill

  • Previous experience in the automotive or logistics sector.
  • Strong administration skills.
  • Previous experience in an administrative role.
  • Good standard of PC literacy.
  • Excellent communication skills, both written and oral, to all levels, both internally and externally.
