Our Wilmington Events EMEA team deliver successful events for a variety of leading brands within our portfolio of businesses including Health Service Journal (HSJ), International Compliance Association (ICA), AXCO and MiExact.

Main Purpose of Role:

In this role, you will support senior event/event managers with the delivery of summits, larger conferences and other events whilst also owning the operational aspects of the delivery of smaller (150 pax) 1-day forums, virtual events, and webinars including managing the costs budget for each allocated event, updating estimates, handling POs and invoices and reporting any overspend to senior/event manager


You will set up webinars and virtual events, adding content, speakers, booking our in-house Media Team for assistance during the live events/webinars and collaborating closely with venue for live events, including providing set up, timing and health and safety information.

Other elements in your remit will be;

  • Liaising with Production company to create stage sets and technical requirements for on the day
  • Providing briefs to designers for signage and branding plans for live events. Handling the proofs and sign off and providing sign build company with final design files to create ready for the live event
  • Responding to customer queries that come into the shared inbox
  • On the day, taking a lead during set up to ensure that all suppliers are aware of their role and timings. Briefing staff on site with timings and their roles
  • Problem solving throughout the event to ensure that any issues arising are dealt with swiftly and subtly
  • Providing an exceptional customer experience on the day
  • Collecting post event feedback and updating reports with results ready to be used in debrief meetings with the event team
  • Reporting to the senior operations team any issues with tasks allocated
  • Attending/supporting other Wilmington Events EMEA products that the role isn't necessarily working on to assist with virtual/on the day delivery. This will require UK travel and overnight stay and a possibility of a small amount of international travel
  • Carrying out additional tasks as requested by senior operations team or department which facilitate and support the growth of the events, which may not be specified in your job description
