About the role:
Patient Services Supervisor


The main purpose of the Patient Services Supervisor is to ensure that the team provides a seamless 'one stop shop' for the daily management of patient administration.

This includes responsibility for liaison with all stakeholders involved in the referral and treatment pathway of all patients from an administrative and financial perspective

Duties and responsibilities

Main Duties
General

  • To recognise the importance of customer care and present a professional, positive, courteous and helpful attitude at all times.
  • Be fully competent in using the hospital's computer systems, namely CareSys and the production of reports from these and other industry standard software packages.
  • Provide a high standard of documentation and maintain thorough and accurate reporting at all times
  • Facilitate the flow of information wherever possible to improve the experience for our patients, their referrers and their clinical teams.
Enquiries

  • Ensure that all enquiries are accurately recorded on the hospital's computer system and dealt with appropriately in a professional manner.
  • Facilitate the conversion of enquiry into treatment.
  • Ensure nonviable enquiries are helped with relevant information and advice on free services elsewhere.
  • Follow up leads from enquiries and document outcome for future marketing and reference.
  • Facilitate information flow through to other departments in response to enquiries.
Referrals

  • Be responsible for accurately recording on the hospital's computer system all new referrals; assessments, inpatient, outpatient, day patient, rTMS, bloods.
  • Be responsible for handling all referrals from start to finish and monitoring patient pathways through the hospital services.
  • Assign appropriate Consultant Psychiatrist/Therapist from direct referrals to the hospital.
  • Liaise with other departments to facilitate smooth transition into services for example the setting up of Day Therapy assessments, introductory calls from allocated therapist, secretaries for consultant appointment slots and the rTMS Clinician for availability.
  • Providing all patients with confirmation of their appointments
  • Room resourcing
  • Notification of any cancellations and 'did not attends' and subsequent charging of patients for outpatient therapy
Insurance

  • Collect and record all medical insurance details for patients wishing to use a medical insurance policy for their treatment.
  • Responsible for liaison with insurance companies, sending and receiving preauthorisation requests, relaying insurance rejections to patients and clinicians and checking contracts and copay clauses.
  • Responsible for liaison with Consultant Psychiatrist, Therapist and ward for the sending and receiving of relevant reports and risk assessments required by the insurance companies.
  • Be knowledgeable about the hospital's insurance agreements and processes
  • Advising therapy outpatients of insurance company general practices, about their insurance policies and when levels of cover are or may be reaching their limit.
Financial Administration

  • Responsible for informing all patients of all costs associated with treatment and the payment options available to them.
  • Responsibility for invoicing and collection of payment for all services
  • Responsible for receiving payment or letters of guarantee for third party payors
  • Monitoring all patient accounts and proactively intervening as soon as any concerns are raised.
  • Responsible for inputting relevant additional charges to patient accounts
