Description

The purpose of the role is to support the Environment and Sustainability Team in the delivery of a professional service, administering the performance and efficiency of operations within the team, ensuring the workforce is coordinated and achieves its goals.


The post holder provides administrative and secretarial support to the Environment and Sustainability Team and Director of Estates & Campus Services and where necessary.

The post holder must maintain high levels of
integrity, confidentiality, flexibility, and be able to liaise confidently with other members of the University of
Estates & Campus Services Teams, academic staff and students alike.


Duties and responsibilities

  • To assist on the delivery of projects in support the of the UONs Environment & Sustainability plans and policies.
  • To support in the delivery of Environment and Sustainability team engagement events and initiatives.
  • To run detailed schedules and create promotional content for events, making sure all milestones are met.
  • To process purchase orders ensuring compliance with Financial Regulations, in addition to processing internal and external invoices and various other recharges relating to income and expenditure.
  • To service Environment and Sustainability team meetings and working groups, setting agendas, arranging meetings, taking minutes, monitoring actions, and following up outcomes.
  • To monitor and respond to queries sent to the teams shared mailboxes, in line with data protection and University requirements.
  • To support the team with developing and maintaining up to date content for the Environment and
Sustainability teams web pages, newsletters and social media.

  • Word process general correspondence including letters, memorandums, reports, presentations, and other correspondence for the Environment and Sustainability team.
  • To develop, maintain and coordinate the Environment and Sustainability teams' office systems, spreadsheets & databases including SharePoint, ensuring files are archived on a regular basis and regular
filing maintained.

  • Use the online booking system to process the visitor car park bookings and upload the registrations onto to our ANPR system for the required dates.
  • Update the ANPR database with staff vehicle regs which have been edited on U4BW and ensuring those opted into the salary deduction scheme are put on the enforcement agents system.
  • Update the monthly permit orders for staff through the online shop receipts and entering their details on the Excel spreadsheet.
  • Helping to marshal any events that require specific parking arrangements.
  • Undertake specific projects and other duties as request by the Environment & Sustainability team to meet the objectives of the team.
  • The post holder will be expected to undertake other responsibilities and tasks as reasonably requested by the Environment & Sustainability Manager and Director of Estates & Campus Services.
  • The post holder will be responsible and accountable for ensuring all employment legislative requirements are adhered to including equality and diversity and health and safety issues.
  • The post holder may be required to participate in Open Days, Welcome Weekend and other key University events that may be outside the working week.
  • The job description may be altered at any time in the future in line with the level of the post to meet changing institutional requirements, but only in full consultation with the post holder
