Job Summary:

To act as first point of contact within the Installation Team.

To receive work from clients, update work management systems and allocate workstreams to a team of engineers depending on geographic area.

The role will ensure that client requirements are met and in accordance with our company standards


Main Responsibilites:


  • To check engineer's paperwork/PDAs from the previous day to ensure documentation is correct and accurate, jobs are processed on to team leaders/managers to quote for works and any further works are booked in for the necessary operatives.
  • To ensure that water testing has been completed across all installations ensuring compliance
  • To be responsible for all jobs raised within the contracts and monitor all jobs for KPI management checks, ensuring that all jobs are attended to within time, completed within time and that all corresponding paperwork and reports are prepared and available for invoicing
  • To review incoming jobs/calls during the working day and allocate accordingly to engineers
  • To review outstanding jobs with reference to specified response times, evaluating the nature and importance of the instructions, ensuring that calls are responded to with reference to both the importance of the works and the contractual response times and updating clients where necessary
  • To record details of conversations or other forms of communication regarding jobs to provide an audit trail of actions taken
  • To ensure all necessary purchase/subcontractor orders are raised accordingly per job and ensuring all necessary specialists are scheduled to attend site as and when required
  • To administer quotes to clients for authorization as and when required
  • Monitor incoming mailbox for works orders and client liaison to ensure everyone is kept updated with the progress of the job
  • To ensure that all jobs have all appointed attendance including but not limited to; installer, electrician, handyman, waste removal, asbestos contractor, scaffolding contractors, surveyors (Pre&Post)
  • To provide regular updates to clients on progress of works, keeping spreadsheets and trackers updated.
  • To ensure the new asset details are logged correctly onto the system with correct serial numbers/install dates etc.
  • To collate handover packs for each installation job and send to the client, with the contents within the packs varying, client dependent
  • To provide administration support to the installation manager as and when requested
  • To register each individual installation for warranty across various products
  • To notify each individual boiler installation under gas safe and provide certification to the client
  • To compile completed jobs and update spreadsheets ready for financial evaluation
  • Any other duties as reasonably requested

Person Specification

  • Have previous experience working in a customer service environment
  • Have a confident telephone manner
  • Be able to cope with a high volume of calls at times
  • Have strong communication/organisational skills
  • Be a good team player
  • Have a positive and flexible approach to work
  • Have the ability to plan and prioritise their work in order to meet targets and deadlines
  • Have good problemsolving/negotiation skills
  • Due to location of offices have a full UK driving licence/car
  • GCSES or equivalent/relevant experience
  • Excellent IT Skills
  • Good knowledge of Microsoft Excel/spreadsheet
