Description
To provide clear management and direction for Business Support staff.

  • To undertake the recruitment and selection of Business Support staff.
  • To create, promote and maintain effective working relationships through teamwork and the provision of customer focused services.
  • To provide formal supervision and My Annual Review for staff
  • To participate in and where necessary, lead in the coordination and investigation of disciplinary and grievance issues as appropriate.
  • To be responsible for the induction, training and probation of new staff.
  • To manage, develop and assess supervised staff to ensure that consistent and professional standards of practice are developed and maintained thereby equipping staff to cope with changing demands and new tasks.
  • To chair or, support the Business Support Officer in chairing, Business Support Team Meetings.
  • To communicate information effectively within the Section, Directorate and wider authority as appropriate.
  • In conjunction with other Business Support Managers, to be responsible for ensuring adequate and effective contingency plans to cover generic tasks in shared offices/departmental teams.

Business Management and Planning

  • To be responsible for the development of the Business Support Services Team Business Plan and be accountable for the delivery of services accordingly.
  • To work collaboratively with colleagues and contribute towards the representation of the Division at Directorate and Corporate meetings as appropriate.
  • To work at an operational and strategic level to comply with, develop, manage and evaluate the effectiveness of systems, processes and policies used within teams to ensure that appropriate legislation is being complied with and performance indicators aremet. This can be undertaken via the Dashboard and other data qulity tools.
  • To attend Senior Management meetings as and when required.
  • To produce original and complex reports/correspondence and submit to management meetings as appropriate.
  • Make effective use of information and communications technology in the delivery of the service including the relevant corporate and in house systems
  • Contribute towards the development and implementation of workload management systems
  • Lead, contribute to or assist with business modelling sessions to improve and implement new systems and processes.
  • Project manage and lead on implementation of new initiatives.
  • Network with/engage with partner agencies/citizens to review service delivery and identify opportunities for improvements.
  • Assist and liaise effectively with auditors, customers and suppliers to ensure optimum performance
  • Represent the Directorate on internal/external user groups as appropriate e.g.
IT workshops with ICT provider, fact finding/research to other local authorities.

  • To develop and maintain strong operational links with Managers in all service areas.
  • Oversee the management of data quality within the team to ensure that performance indicators and statutory requirements are met.

Financial Management and Planning

  • To undertake delegated budgetary tasks as determined by the Team Manager/Head of Service in accordance with Standing Orders/Financial Regulations.
  • To comply with and ensure the correct implementation of the purchasing process.
  • To be nominated Petty Cash Imprest Holder with direct responsibility for cash and other financial transactions including locality based office accounts.
  • To be nominated safe key holder and have overall responsibility for Court of Protection monies, safekeeping and banking of income.

Customer Service

  • Handle complex issues such as complaints on behalf of senior management often dealing with items of a sensitive/confidential nature. Seek solutions and make recommendations through lessons learnt.
  • Manage the Directorate's 'front of house' image in line with the Council's agreed policies and practices relating to public information and marketing activities.

ICT

  • Participate in Directorate ICT Programme Board.
  • Coordinate and implement changes to ICT systems, ensure all staff are trained and that procedures are developed to support the tasks.
  • Liaise with ICT staff re. ICT requirements and future developments.
