The role and what you'll be doing:
As an Executive Assistant, you will support members of our newly established Executive team.
Currently at Policy Expert, we have one EA who has been with the business for over a year and together, you will both support the Executive team which is now a group of 10 individuals.
You will be a pragmatic problem solver with exceptional communication skills and attention for detail. You will take ownership of supporting our office organisation, project management and deadline compliance.
Given the agile nature of our executive landscape you will be flexible and consistent, offering a supportive bridge between our Exec team and the business.
Responsibilities:
- Working closing with the Exec team to ensure that business goals and objectives are accomplished and that operations run efficiently.
- Maintain and refine internal processes that support the Exec team including our Chief Financial Officer and the wider Finance team on occasion.
- Completes a broad variety of administrative tasks including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travelrelated meetings.
- Prepare meeting agendas, perform research for meetings and take minutes during meetings.
- Provides a point of contact between the Exec team and internal departments; demonstrating leadership to maintain credibility, trust, and support.
- Plan work to ensure that the teams' priorities are met, and best practices are upheld.
- Work closely and effectively with the senior leaders to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Successfully completes critical aspects of deliverables with a handson approach, including drafting correspondence and other tasks that facilitate the senior leader's role.
- Assists in coordinating the agenda of Exec team meetings, offsites, and all staff meetings.
- Assist and support with the daytoday management of the office, such as welcoming visitors, booking meeting rooms, stationary, creating and maintain MI as needed and other duties to ensure the smooth daily operations.
- Adapting to perform ad hoc tasks and develop within the role as the business grow.
