    Role Description

    This is a full-time hybrid role for Operations & Executive Support. The role will involve various day-to-day tasks such as managing operations, providing executive support, analyzing data, coordinating communication, and facilitating smooth operations.

    Qualifications

    Key responsibilities

    • Executive Assistance: Provide high-level administrative support to executives, including calendar management, travel arrangements, and correspondence. Assist executives in special projects, initiatives, and strategic planning activities as needed.
    • Administrative tasks: The executive assistant will handle a variety of administrative tasks, such as filing, data entry, and maintaining records. The EA may also be responsible for managing the CEO's personal tasks.
    • Operational efficiency: Streamlining operational processes to improve efficiency and reduce costs while maintaining compliance and security standards. Evaluating operational workflows and procedures to identify inefficiencies or non-compliance issues, proposing and enacting improvements that align with industry best practices and regulatory requirements.
    • Finance budgeting: Developing and managing the administrative budget, including forecasting expenses, tracking costs, and optimizing resource allocation to support organizational objectives.
    • Human resources: Overseeing HR processes, including recruitment, onboarding, training, and compliance with labor laws. Designing and managing compensation and benefits programs to ensure competitiveness and alignment with industry standards and regulatory requirements.
    • Facilities management: Overseeing the maintenance and operation of office facilities, including workspace design, lease negotiation, office equipment procurement, and ensuring a safe and comfortable working environment.
    • Internal control: Developing and implementing internal procedures, and guidelines to standardize operations and improve efficiency. Conducting regular audits of administrative processes and systems, identifying areas for improvement and implementing changes to enhance efficiency and compliance.

    Job requirements

    • Minimum 3 years of experience in a similar role
    • Fluent English, showcasing excellent communication skills necessary for a multilingual and multicultural workplace.
    • Solid experience in an EA/Operations role, or similar role within reputable and regulated companies, preferably within the financial services or tech industries.
    • Strong understanding of office management procedures and departmental and legal policies.
    • Ability to articulate and implement policies and procedures with attention to detail.
    • Deep understanding of office management and administrative procedures, with a keen eye for detail in a regulatory and compliance-focused environment.
    • Proficiency in MS Office and familiarity with industry-specific software and tools.
    • Exceptional organizational and time management abilities, capable of prioritizing tasks in a fast-moving sector.
    • Strong interpersonal skills, with the ability to foster positive relationships internally and externally.

    • Passion for crypto assets with a solid understanding of blockchain technology and applications.
    • Fluent in German
