International Membership Organisation to recruit an LPD Administrator to cover a maternity leave.

Salary:
£26000/annum - pro rata
Hours 9:30 AM to 5:30 PM
Hybrid: 2 days a week in the office.
Maternity cover until August 2023
This specific role manages the day-to-day administration of the Legal Practice Division (LPD), including providing support to the Division Senior Officers, the Council and Section Board Members, Committee Officers, and the Divisions Director.
Key Accountabilities:
- Maintaining an overview of all Legal Practice Division (LPD) activities, through active involvement and liaison with Division, Council and Committee Officers;
- Maintaining an overview of all activities of the Section of Energy, Environment, Natural Resources and Infrastructure Law, through active involvement and liaison with Section and Committee Officers;
- Producing and distributing reports, memos, agendas and minutes for LPD Officers, LPD Council and Council and Committee Officers', SEERIL Officers and SEERIL Council meetings;
- Preparing and proofreading LPD copy for the Annual Conference programmes (preliminary and final);
- Monitoring LPD budget, including informing LPD and Committee Officers of the status of budgets when requested, and processing expenses;
- Maintaining and updating the LPD policy handbook, in coordination with SPPI/BIC Administrator;
- Managing the process of LPD Council and Committee nominations and appointments;
- Ensuring that Committees operate within approved policies, providing guidance and advice as necessary;
- Proofreading of Committee Newsletters and Conference programmes;
- Reviewing and providing a copy for LPD webpages on the website;
- Reviewing and providing LPD copy for various publications and materials;
- Administering LPD Conference Quality Fund
- Other administrative support Division Director as needed;
- Providing administrative support to LPD Advisory Groups/ Task Forces;
- Maintaining officer records on the database and distribution lists for mailings
- Processing expenses
The successful Administrator could possibly need to travel to their mid-year conference outside of the UK in May 2023 which could be up to 3 days.
Skills and Experience
- Proven track record in formal minute taking;
- Substantial experience in prioritising and managing own work load/coordinating/managing projects etc; juggling different priorities etc, tracking activities, managing tasks
- Proven track record in detailed, accurate and timely administration;
- Experience in drafting memos and reports for senior review;
- Experience in scheduling formal and informal meetings and creating formal agenda;
- Experience with senior professionals.
- Excellent, professional written and verbal communication skills in English;
- Competence and advanced knowledge in using MS Office (particularly Word, Excel and Outlook) Teams and Zoom.
- Experience with database work or data entry
