Your role at a glance

To provide a high touch professional "121" executive service to the Head of Global Client Service Operations (GCSO) and the 'Senior Leadership Team' across GCSO.

What you'll be doing

  • Diaries: based on building a close trusted working relationship, coordinate and proactively manage diaries, anticipate issues, build a strong understanding of the department and individuals' priorities to manage appropriately and at speed including any conflicts
  • Meetings: based on building a close working relationship with those you support, initiate and arrange all meetings in a collaborative manner to ensure optimum use of stakeholders' time in locations, during meetings and when travelling. Take minutes where required and summarise meeting notes or actions including circulation to stakeholders within deadlines whilst ensuring confidentiality and discretion at all times
  • Meeting preparation: Produce and format documents, papers, reports and presentations within brand guidelines to meet Company standards
  • Meeting productivity: based on building a close working relationship with stakeholders, manage their attendance and preparation for meetings and events by providing timely reminders of action points and gathering, collating and circulating papers and documents prior to meetings
  • Administrative tasks: Manage, coordinate, and raise expenses for individuals you support and the GCSO wider team
  • Reviewing, raising, and coordinating the timely execution of invoices for the department for supplier relationships
  • Maintain accurate records including sickness, holidays, expenses, corporate responsibility & entertaining etc in order that records are accurate and comply with all Group policies and standards, as well as ensuring that the FCA's requirements for Treating Customers Fairly adhered to in all work processed
  • Travel: proactively coordinate travel plans including booking transportation, accommodation, drafting itineraries and process expenses using appropriate tools to (advise on and) ensure off site meetings and other events can be attended in the most time efficient and costeffective manner
  • Recruitment admin: oversee the interview process for key hires within the team, liaising with recruitment, scheduling interviews and working closely with the hiring manager
  • Also administer the onboarding & offboarding process for all new starters/leaver within the team including setting up of introductory meetings with key stakeholders and become point person through their first couple of months
  • Build knowledge of the key stakeholders across the firm and establish relevant contacts and build strong relationships to enhance support
  • Independently manage and prioritise own workload effectively whilst being able to work as part of a team to achieve the objectives of the department
  • Demonstrate the behaviours and cultures required across the firm
What we're looking for

  • Previous experience supporting more than one senior business leader is essential
  • Working knowledge of Microsoft office packages is essential
  • Working knowledge of Microsoft office packages at an advanced level would be an advantage.
  • Excellent organisational skills and the ability to prioritise effectively
  • Ability to work under pressure and at pace
  • Maintain quality in all situations
  • Attention to detail focus on accuracy
  • Ability to quickly utilise any IT tools that may be required
  • Ability to act diplomatically and confidentially with sensitive information
  • A high degree of independence and can fully understand the requirements in the role
  • Strong communication skills and ability to be assertive when required
  • Proactive and predictive approach to managing workloads and supportive the leadership team
