Executive Assistant - June 2018 – Present

 

- MSE Monthly Radiology Board Meeting

I collate board papers / reports from the teams, update and track the action log, create the draft agenda, circulate board papers to board members, create a board pack for the Triumvirate and minute the board meeting noting any apologies. On several occasions we may have staff from other areas of the hospital who wish to present at the board, I will arrange this with them and notify them of their slot and circulate any relevant presentations to the board members. 

 

- Extensive diary and inbox

Organising the Triumvirates busy diaries so there is sufficient time between meetings and regularly blocking out time in order to give the Directors sufficient time to plan and respond to emails.

 

- Inbox management  

I monitor the Directors inbox and reply to incoming emails whenever possible.  I flag all emails under categories such as, Urgent, To Do Today, To Do (non-urgent), For Info etc.  I also save all attachments and any important emails into the Radiology Triumvirate drive.  I also monitor emails that have been flagged for me to action.  

 

- Teams – Creating Teams and sub channels, scheduling Teams meetings, circulating papers prior to meeting, recording meetings, creating task via the bucket feature.

 

- Triumvirate Drive - I have created a secure central folder for the Triumvirate.  The drive has many subfolders and acts as a robust electronic filing systems which can be accessed across the three sites and remotely.    

 

- Meetings - I organise and minute the MSE Monthly Governance Board Meeting, Radiology Equipment Meeting and the Monthly Site Governance Meeting.  I have also scheduled monthly Clinical Lead meetings for each site and arrange ad hoc meetings on a daily basis.

 

- Inductions - organise equipment such as laptop, headset, docking station etc.  Request an email address and all the relevant access for drives and software.  Confirm start date and notify team.  Arrange for the new starter to meet with the triumvirate and the wider team during their first couple of weeks.

 

- Monthly Newsletter – collating the information and research and creating the Radiology monthly newsletter using Publisher.

 

- Appraisals - organise appraisals for direct reports of the Triumvirate in line with trust policy .  Keep previous appraisals saved in the relevant Triumvirate folder for future reference.  Keep an action log of start dates and when appraisals have been completed.  Send completed appraisals to HR and save a copy to file.

 

- 1:1s - organise weekly 1:1s for the Deputy Director ofOperations for Radiology and his direct reports.

 

- Interviews - liaising with HR and/or agency to schedule interviews for a time that suits the team. Creating interview packs.

 

- Governance - as well as assisting with the governance board meetings I also supported the Head of Quality and Governance for a period of time due to staffing issues at Basildon.  During this time I updated the governance tracker with all the incoming PALScomplaints, serious incidents etc chasing up on anything that was outstanding and communicating with the patient or relative in an understanding and sympathetic manner.  I also created and saved all correspondence and documentation to their relevant folders.

 

- Organisational and Flow Chart - created an organisational and a governance flow chart for the department.

 

- Healthroster / Annual Leave - inputting rota patterns onto Healthroster and adding leave dates for the Triumvirate.  Making sure annual leave dates are in all the Triumvirate and relevant diaries and that there are no clashes.

 

- Freedom of Interest (FOI) – monitoring, collatingand tracking the incoming departmental FOIs and submitting the information in a timely manner.

 

- All other PA duties - typing, invoicing. raising purchase orders, scanning, answering and dealing with incoming calls wherever possible or taking a message, regular check in meetings with Triumvirate and general ad hoc duties.

- Managing the CEO’s and COO’s diaries

- Act as first point of contact for the CEO/COO

- Screen phone calls, enquiries and requests, and handle them when appropriate

- Deal with incoming emails/post and correspond on behalf of the CEO/COO when appropriate

- Meet and greet visitors at all levels of seniority

- Organise and co-ordinate meetings including arranging refreshments

- Liaise with internal and external stakeholders on behalf of the CEO/COO as required
