We are working with United Learning to find a Permanent Personal Assistant to join their team at William Hulme's Grammar School (Primary School).

You will provide admin support to the Primary Headteacher and manage the Primary School Office with three staff.
This role would suit an experienced Personal Assistant with the ability to manage a small team.

- £ £23567 Term time only (37.4 weeks)

  • 37.5 hours Monday to Friday.
  • 08:0016:00 / 07:4 15:45.

Duties and Responsibilities of the Personal Assistant:

  • Providing professional and confidential administrative support to the Primary Headteacher.
  • Diary management.
  • Drafting correspondence with or without instructions and establishing filing systems.
  • Quality control of important documents and policies.
  • Attending meetings to take minutes as needed, e.g., staff meetings, annual review meetings
  • Receiving visitors, dealing with enquiries, answering the telephone, and taking messages for staff.
  • Monitoring access to the premises and ensuring visitors comply with safeguarding procedures.
  • Conducting some HR admin with regard to time sheets, leave of absence slips and staff absence.
  • Contacting recruitment agencies to organise supply staff, communicating with HR to ensure that all safer recruitment procedures are followed.
  • Liaising with the Admissions Officer regarding Primary admissions and organising relevant events.
  • Line managing the Support Services Administrator and Learning and Attendance Mentors.
  • Liaising with parents and Attendance Officer re pupil absences. Updating punctuality daily on SIMs. Producing half termly attendance statistics for Primary Headteacher and yearly statistics for parents.
  • Responsibility for ordering all stock for the Primary School and for distribution of stock on arrival.
  • Booking Primary staff training courses and maintaining documentation.
  • Responsibility for First Aid within the Primary School on a daytoday basis.
  • Assisting with the organisation of all public events in the Primary School. Primary School events such as Parents' Evenings and Open Evening.

The Personal Assistant Must Have/Be:


  • GCSE (or equivalent) in English and Maths.
  • Experience of working with an MIS and MS Office.
  • Previous role as a PA/Secretary or Administrator.
  • Articulate, literate and numerate.
  • Excellent communication skills.
  • Able to draft letters from scratch and amend/proofread work of others.
  • Planning and organisational ability.
  • Experience of supervising or coaching others.
  • Able to prioritise tasks and meet deadlines whilst retaining a concern for quality.
  • Diary management (using Outlook).
  • Ability to see the bigger picture across the school.
  • Confidentiality and discretion.
  • Confidence and assertiveness.
  • Ability to work under pressure and multitask.
  • Able to direct other staff in administrative tasks.
  • Relationship building skills.
  • Accuracy and attention to detail.
  • Confident speaking to prospective parents, individually and in a group.
  • A willingness to occasionally work overtime to attend school events.
  • Take pride in work and have high expectations of self and others.
  • Comfortable in using initiative to suggest and drive change.

An Advantage but not Essential:


  • Typing qualifications.
  • Experience of working with an MIS for attendance purposes.
  • Alevel education or equivalent.
  • Ability to minute meetings.
  • Knowledge of the Cloud/Teams/SharePoint.
  • Experience of working in education.
  • Previous role as a Personal Assistant.
  • Knowledge and understanding of GDPR/Data Protection.
  • Previous experience of customer service.
  • First aid and willingness to be a First Aider.
  • Proven line management experience.
