    Description

    Job summary

    This role is to provide an supportive and efficient administration service the outpatients department at Bristol Eye Hospital.

    There are a variety of jobs that need to be maintained to a high professional standard at all times.

    You will be liaising with many different departments within the hospital as well as the Trust as a whole.

    You will be working with the outpatients management team closely to maintain the smooth running of the department.

    Main duties of the job

  • To provide an efficient administration service to the management team
  • Liaise with the outpatients management team regarding the recruitment process within the department
  • Liaise with the estates department regarding repairs and new works
  • Be a representative of the outpatients clinical governance team
  • Be a line manager to a team of ophthalmic technicians
  • Manage BEH outpatients consultant rota room allocation across x 3 floors.
  • Have an oversight of non-pay transactions
  • Managing the outpatients staff rostering system

    Knowledge and Experience

    Essential

  • Experience of working in senior team environment supporting individual projects and administration
  • Experience dealing with all levels of staff both on the telephone and in person
  • Knowledge of a full range of administrative and organisational policies and procedures
  • Desirable

  • Experience working as a senior Personal/Management Assistant
  • Previous experience of the NHS
  • Skills and Abilities

    Essential

  • Ability to use Microsoft Office or evidence of training in MS Office applications including the reconfiguration of spreadsheets
  • Excellent organisational and administrative skills with a high level of accuracy
  • Ability to quickly understand complex concepts and prioritise accordingly
  • Excellent communication and interpersonal skills in order to build and maintain positive working relationships with internal colleagues & external clients
  • Ability to work as part of a team
  • Ability to work under own discretion and initiative with a methodical and organised approach without supervision
  • Understanding of the sensitivity and confidentiality of work within Dental Management office and handling such work in an appropriate manner
  • Proven ability to meet deadlines and work under pressure with skills relating to prioritisation, delegation and time management
  • Qualifications and Training

    Essential

  • Good standard of education to degree level or equivalent relevant experience
  • ECDL Trained/possess a MS office competency certificate or have equivalent level of experience
  • Evidence of commitment to continuing personal development
  • Desirable

  • PA/Secretarial Administrative Diploma or equivalent
