    SUMMARY:

    Contract type: Permanent

    Working hours: 3 days / week (with potential to increase to 5 days)

    Provide administrative and functional support of the HR department.

    The ideal candidate will be enthusiastic about starting their career in human resources and possess strong organizational and communication skills. This role offers an excellent opportunity to gain hands-on experience in various HR functions across different countries and contribute to the success of our organization.

    ESSENTIAL DUTIES:

    General Human Resources Support

    Be the first point of contact for standard routine correspondence such as e-mails and letters.

    Handle employee inquiries and provide assistance on HR-related matters.

    Maintain accurate employee records and databases, ensuring data integrity and confidentiality.

    Liaise with each department to arrange corporate meetings and staff social events.

    Support performance-related duties and HR projects, on occasion, as assigned.

    Arrange Probation Review meetings.

    Recruitment

    Support the recruitment process by posting job openings.

    Coordinate logistics for interviews, including booking meeting rooms and preparing interview materials.

    Liaise with recruitment agencies to schedule and arrange interviews for open positions.

    Ensure references are obtained and proper checks are carried out.

    Onboarding and Offboarding

    Assist with the onboarding process for new hires, including IT account request, mobile phone arrangement, new hire paperwork, HR system update, arranging Induction Training and ensuring a smooth transition into the organization.

    Support offboarding activities, including monitoring the return of company property, Exit Interview arrangement, HR system updating, filing termination paperwork etc.

    Benefit Administration

    Assists in administering the Benefits program by signing up new employees, inputting employee changes, and answering employee questions on benefits coverage.

    Support EMEA staff benefit filing.

    Support the management of Company Car leasing contracts and fuel card administration.

    SKILLS REQUIRED:

    Bachelor's degree in Human Resources, Business Administration, or related field preferred.

    Knowledge of using AI (such as ChatGPT, Copilot) is a must.

    Prior internship or work experience in HR or a related field is a plus.

    Strong organizational skills with attention to detail.

    Excellent written and verbal communication skills.

    Ability to maintain confidentiality and handle sensitive information with discretion.

    Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook).
