    Description
    Established Facilities Management company require an experienced Administrative Assistant to provide support services to Business Development Team.

    Working 25 hours per week, as Administrative Assistant you would report directly to Director of Business Development Soft Services and provide an effective administration support service; a friendly and professional service to clients, prospective clients, colleagues and visitors; assist in the collation and preparation of quotations and tender returns; raise invoice advice notes and any relevant pay advices for signature and manage contracts, to include preparation, distribution and manage return.


    The role of Administrative Assistant is offered as a Permanent contract, with attractive working hours, competitive salary and immediate start available.

    Ideal candidate for the role of Administrative Assistant would possess excellent written and verbal communication skills, be organised, reliable and flexible with a good level of IT proficiency.


    Main duties of Administrative Assistant:

    • Greeting visitors and telephone callers promptly and routing their enquiries efficiently and effectively
    • Assist Business Development team with daily organisational tasks
    • Meet with visitors, contractors and suppliers and assist with general support
    • Plan meetings and take detailed minutes if required
    • Write and distribute email, correspondence memos, letters and forms
    • Assist in the preparation of regularly scheduled reports
    • Develop and maintain a filing system
    • Update and maintain office policies and procedures
    • Order/set up supplies and research new deals on products and equipment
    • Maintain contact lists
    • Act as the point of contact for internal and external clients
    Skills and attributes required by successful candidate for the role of Administrative Assistant:


    • Working knowledge of office equipment (printers and fax machines)
    • Proficiency in MS Office (MS Excel, MS Word and Powerpoint in particular)
    • Excellent time management skills and the ability to prioritise work
    • Attention to detail and problem-solving ability
    • Excellent written and verbal communication
    • Strong organisational skills with the ability to multi-task

    Location:
    Wantage, Oxfordshire

    Hours of Work: 25 hours p/wk – within core times of 8 am to 5.30 pm Mon – Fri (Flexibility essential)

    Salary:
    £25,000 p.a. pro rata 25 hours (£15,625 p.a.)
