- Provide calendar management for CEO, as well as light admin support for the executive team.
- Prioritise inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Complete a broad variety of administrative tasks to facilitate the effective performance of the CEO, including: assisting with projects, designing and producing documents, Board reports, and presentations, collecting and preparing for meetings with staff and outside parties, composing and preparing correspondence, making travel arrangements and completing expense reports.
- Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritise and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO's style and organisation policy.
- Coordinate and assist with the execution of the corporate strategy. Coordinate all Executive Team meetings and retreats.
- Helping the CEO and Transformation Director to track actions from meetings, Exec Team KPI's, and ongoing strategy requirements between meetings, helping form the agenda for high level strategy work and planning meetings.
- Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
- Booking travel (national and international).
- Act as a point of liaison and provide support to the Board of Directors. Work with the Company Secretary to ensure effective schedules and logistics for Board meetings and events.
- Work closely with the executive management team to provide assistance as required, and to ensure strong 2-way communication with the CEO.
- Aid marketing team attendance at events by raising Purchase requests and, arrange the shipping and logistics of equipment as required, as well as arranging travel booking and logistics for event staff.
- Monitor new sales leads on Salesforce and email, and assign for follow up.
- Probably, but not necessarily, degree educated.
- At least 2-5 years' experience working in a similar role
- Competent with standard office software (eg Microsoft, esp. Teams, Outlook, Powerpoint and Sharepoint)
- Ideally working in a similar role in a public or private company
- Experience of working across multiple time zones

Description
Purpose of role

Core hours are 9-5.30pm, although some flexibility will be required to manage exceptional demands and to match the needs of international staff and contacts.

We have offices in both Theale and Bristol. Our Headquarters is based in Theale where you will be located around plenty of country pubs in the area, golf courses, fishing lakes, good cycle and walking routes. Our Bristol office is modern, open plan complex located by the intersection of the M4 and M5.
