Salary range:
£22,500 to £23,500 paid in monthly instalments


Hours of work:
You will work full time 37.5 hours per week between the hours of 8.00am and 6.00pm, Monday to Friday.


Holidays:
Annual holiday entitlement is 25 days plus 8 days in lieu of bank holiday entitlement.

Up to 5 days of holiday must be saved toward the Christmas and New Year closure if not required to work.

Holidays are not permitted in from mid-June until mid-August.


After your probationary period you will become part of the 'emergency on call' out of hours' team, being on a shared rota and covering hours outside the standard working week.

This includes bank holiday cover and is paid in additional to the salary range being offered.


Role Description


All members of the Student Services team hold a vital position at Kings Oxford, ensuring the highest level of customer service is always provided whether it's existing or new business.

The Student Services Support (SSS) covers the 'front of house' at three of our school campuses.

Providing a welcoming environment, assisting students with their requests, in which our students can flourish, improve their English, make progress in their studies, and develop their independence and understanding of living in modern Britain.


SSS's will be the first point of contact for our students assisting and supporting them with their requests and enquiries.

Leading in taking incoming calls, filtering, and transferring calls to the departments. Leading in welcoming parents, visitors and agent visits and new booking enquires.

The SSS role will work closely with all core services: academic, EFL, welfare, finance, and registrations. In addition, close working with the Central Admissions team.


Kings Oxford is registered as a boarding school with the Department for Education and all compliance is in line with the National Minimum Standards for Boarding Schools and the Ofsted Common Assessment Framework and Standards for Inspection of Boarding and Residential Schools.


Duties and Responsibilities:


  • Interacting with students daily ensuring their needs are met and dealing with all promptly and effectively. This will include being responsible for the uploading of key student documentation onto the support databases, opening bank accounts, biometric permits, course extensions, student holiday breaks and accommodation enquires.
  • Being responsible for taking student payments, recording and the reconciling and management of these ledgers working with the Finance Accounting Manager
  • To ensure the day to day running of reception is efficient and timely to include: photocopier maintenance, distribution, franking and collection of post, photocopiers are filled with paper and shredding machine is checked and emptied
  • For contractors following the Visitors and Contractors policy for check in and monitoring
  • Taking minutes' meetings and distributing for nonconfidential regular meetings on request
  • Supporting welfare with the schools under 18 going away procedures, ensuring the students request forms have been filled in correctly and obtaining parental consent.
  • Assist in the organizing and booking of arrival and departure transfers for students.
  • Supporting managers with maintaining shared calendars, inputting and maintaining information provided.
  • Displaying and updating key student notice boards with revised and new information including Class list updates.
  • Being a keyholder and having responsible to open and close the school as part of your standard working hours.
  • Assisting students enrolled in the English preparation programme, ensuring they are supported and smoothly transition between EFL and Academic sites.
  • In the absence of the Attendance Coordinator, be the 'attendance checker' ensuring that the school's safeguarding, child protection and attendance policies are adhered to in all cases.
  • To keep up to date with all courses and facilities available at Kings Oxford, locations promotions and the sale team directory.

Kings Oxford offers a 24-hour emergency facility to our students and cover is required during all periods of closure including bank holidays, Easter and the Christmas period.

You will be required to be on the emergency on call weekday and weekend rota.

The number of emergency on call periods you must contribute to will depend on the number of staff on this rota.
