- Strong Sales and Administrational experience are essential with events operational skills.
- To ensure the quality of events and increase attendance numbers for all event ticket holders.
- Collate and promote drinks order packages before event delivery.
- Achieve an 80% rebook rate by August from bookings, with the goal of selling out all events by October, including receiving deposit payments - via calls.
- Reach out to new clients through cold calls to boost sales for an additional Party Night.
- Collaborate with the sales team to manage sales of Private Party Nights.
- Actively market the Winter Carnival Event in coordination with the Venue Marketing Team.
- Handle all documentation and correspondence promptly, including booking forms, contractor contracts, and invoices.
- Coordinate with the accounts department to ensure timely receipt of deposit and final payment invoices.
- Manage the Christmas e-mail inbox and respond to all emails within 24 hours.
- Work alongside the Head of Events to successfully deliver the Coventry Building Society Christmas Events, including Shared Christmas Parties, Christmas Live Events, Winter Carnival, and Private Party Nights.
- Proactively engage with private clients, companies, and suppliers to ensure successful event execution.
- Operate and maintain the venue booking system (IVVY), create detailed Event Function sheets with accuracy and timeliness, manage payments to ensure advance revenue collection, and increase sales through advance drink package sales.
- Collect event feedback from clients post-event to secure future event rebookings.
- Collaborate with the Head of Operations on the delivery of Christmas Live Events.
- Coordinate with onsite and offsite contractors while adhering to the event budget set annually.
- Liaise with the Marketing Team for event promotion.
- Participate in pre-event client and contractor meetings to finalize event details for venue operational teams.
- Ensure all event documentation is approved by both client and contractor.
- Work with the Health and Safety Manager to complete all H&S Documentation within specified timelines.
- Regularly communicate with operational departments to meet client expectations and requirements.
- Prepare detailed P&Ls for each event to achieve set profit margins.
- Represent the department professionally to clients, suppliers, and internal colleagues.
- Gather post-event feedback and share with relevant departments.
- Attend operational function sheet meetings and event planning sessions as events approach.
- Manage client accounts to drive business growth and event re-bookings.
- Demonstrate a professional approach that builds credibility and fosters confidence in others.
- Exhibit a customer service mindset with a strong focus on clients and customers.
