    Job summary

    An exciting 12 month fixed term opportunity has arisen at Nottinghamshire Healthcare NHS Foundation Trust Headquarters for a full time Board Support Officer and PA to Executive Medical Director. This is a friendly and flexible team looking for someone with the commitment to make a difference to our patients. This role would suit someone who is organised, with a keen eye for detail and who thrives in an energetic and busy environment where no two days are ever the same. This role offers the opportunity to develop further, with additional training packages and qualifications to support individuals, maximise their potential and career path. Hybrid and flexible working is offered as part of this package for the right candidate.

    Main duties of the job

    The post holder will have responsibility for supporting the Executive Medical Director with diary and email management. Provide support for accurate and timely documentation. Produce accurate formal minutes to the highest standard for the Board of Director's meetings, Committees and Executive meetings. Liaise directly with Executive and Non-Executive Directors, Chief Executive and The Chair on a regular basis. Responsible for working directly with colleagues to develop agendas and forward plans for Board and Committee Meetings. The post holder will be privy to the highest level of confidential information and therefore utter discretion and ability to comply fully with confidentiality requirements is essential.

    Job description

    Job responsibilities

    To provide and oversee an efficient, comprehensive and well governed administrative service to the Executive Medical Director in providing reports to appropriate committees including the Board for which the Medical Director is the Executive Lead.Drafting Committee annual emails and calendars.Attending and accurately recording the minutes, actions, and decisions at specified meetings to the highest standard reminding action owners to complete these within time scales, adding to forward agendas were relevant and supporting the Committee Chair with their board highlight support the Executive Medical Director in project management in co-ordinating projects and supporting with business plans.Establishing effective systems for developing and managing the forward planner and agenda for each committee as agreed with meeting ChairsCo-ordinating the production of meeting papers, ensuring timely distribution of agendas and supporting papers for internal and external stakeholders via the Board Intelligence appBooking venues, facilities and refreshments for meetings when requiredSupporting the Corporate Secretariat Manager, to ensure the maintenance of the electronic document management system (Board Intelligence) across all executive functional areas; ensure routine management and development of the system. This will require co-ordinating, engaging and training other administrative teams to ensure compliance.Assisting with the auditing process of board and committee meeting arrangements.
