    Job summary

    Join our warm and welcoming team at Shap Medical Practice as we seek a Receptionist Administrator to join our friendly team as a Receptionist Administrator.

    The position is a 12 month temporary contract to cover for Maternity Leave

    Hours of work will be up to 30 hours per week spread between 8am and , Monday and Friday. Flexibility to cover staff leave will be required.

    Main duties of the job

    The successful candidate should be eager to learn and keen to contribute to the full team performance, have good communication skills, an excellent telephone manner and be computer literate.

    You must be calm, patient, empathetic and with an attention to detail.

    This is an exciting, varied and fast paced role and you must be able to multi-task in a busy environment.

    Duties will include helping patients at the reception desk and on the telephone, signposting patients to the correct clinician, booking appointments, communicating test results, scanning and filing hospital correspondence, data entry and other general office tasks.

    Job responsibilities

    Thefollowing are the core responsibilities of the receptionist administrator. Theremay be on occasion, a requirement to carry out other tasks; this will bedependent upon factors such as workload and staffing levels:

    a.Maintainingand monitoring the practice appointment system

    b.Processpersonal, telephone and e-requests for appointments

    c.Answerincoming phone calls, transferring calls or dealing with the callers requestappropriately

    d.Signpostpatients to the correct service

    e.Processincoming and outgoing mail

    f.Initiatingcontact with and responding to, requests from patients, team members andexternal agencies

    g.Processreferrals to external agencies such as secondary care using the electronicreferral system (ERS)

    h.Processcalling letters are requested

    i.Processall DNA letters in accordance with current policy

    j.Readcode data on EMIS clinical system

    k.Photocopydocumentation as required

    l.Fileand store records as required

    m.Dataentry of new and temporary registrations and relevant patient information asrequired

    n.Inputdata into the patients healthcare records as necessary

    o.Scanningof patient related documentation and attaching scanned documents to patientshealthcare records

    p.Manageall queries (including administrative queries) as necessary in an efficientmanner

    q.Maintaina clean, tidy, effective working area at all times

    r.Monitorand maintain the reception area and notice boards

    s.Supportall clinical staff with general tasks as requested

    Qualifications

    Essential

  • Educated to GCSE level or equivalent including English at Grade 4 (C) or above or equivalent
  • Desirable

  • NVQ Level 3 or equivalent in customer care or administration or reliable and proven work experience in a relevant role
  • Experience

  • Knowledge of patient administration and record systems (EMIS)
