Receptionist Administrator

Temporary to Permanent
Pay Rate:
£11 - £12 an Hour
We are delighted to be working on the behalf of a leading maintenance company to provide support within one of their core service contracts and you'll be jointly responsible for the operational support in relation to facilities, helpdesk, caretaking andall aspects of reception and administration duties.
This is an amazing opportunity to join a large and well-established maintenance company.
Key Responsibilities:
- Answering the telephone in a courteous and timely manner.
- Ensuring that all visitors and contractors are treated in a pleasant, courteous and efficient manner and provide refreshments as and when required.
- Administration support for the contract/office team; including producing letters, compiling reports, assisting with customer enquiries for the core contract and updating customers on issues raised.
- Using the purchase order system, raising orders, inputting delivery notes and dealing with accounts queries.
- Help to ensure that accounts month end deadlines are met.
- Raise invoice input forms to send to accounts.
- Check payment certificates/recharges from the client to ensure payment will be received for all completed works.
- Collation of meter readings, water temperatures and emergency lighting records.
- Planning and setting out of meeting rooms.
- Carry out weekly fire alarm tests.
- Attend to minor maintenance tasks: i.e. replace light bulbs.
- Opening and closing of site including activating and deactivating alarms.
- Assist with security issues and customer care role.
- Assist with the facilitation of caretaking duties.
Required Skills:
- Good verbal and written communication.
- Good Excel & Word proficiency required.
- Able to work with people of all ages, backgrounds and abilities.
- Able to work promptly and efficiently under direction, as part of a team or without supervision.
- Good time keeping.
- Organised and flexible approach to all tasks.
- Able to work at a commercial pace.
- Selfmotivated, confident, resourceful and able to use own initiative.
- An SIA door supervisor & or CCTV licence is desirable but not essential.
- Professional attitude.
- An approachable personality.
- Enthusiastic and selfmotivating.
- Must be a team player.
- Professional and friendly disposition.
- Ability to multi task and prioritise their work load.
- Ability to provide an excellent level of customer service.
- Willing to be flexible in respect of their contracted working hours to cover all aspects of working on a busy core services contract.
