    The Team

    The Finance team works across all the Exposure businesses, in the UK, USA and Paris. Currently a team of 7 with 5 UK based and 2 in the US.

    The Job

    Reports to: Finance Assistant

    The role is key to the day to day running and financial success/stability of the business. Working together with the Finance team, the Finance Assistant should have a good understanding of basic finance related matters, particularly regarding payments, cost/spend status on all projects and inter-company items.

    The position requires diligence, positivity, integrity, proactivity, and enthusiasm, in order to enable the management team to make key decisions and ensure the availability of accurate financial information at all times.

    Requirements

    Key Areas of Responsibility

    • Manage all aspects of Purchase Ledger ensuring supplier invoices are recorded accurately.
    • Manage the Accounts Payable mailbox ensuring queries are actioned.
    • Post payments and update bank reconciliations on a weekly basis.
    • Process employee expenses, ensuring the correct VAT amounts are reclaimed while adhering to UK VAT rules.
    • Review outstanding Purchase Orders monthly to ensure job bags are accurate.
    • Process payment runs (currently twice a month).
    • Reviewing Aged Creditors and ensuring Supplier Statements are reconciled.
    • Support Finance Managers with chasing receipts from Clients and preparing job bags.
    • Assist the Finance team with the annual audit process and ad-hoc requests as required.
    • Support the Sustainability Team with reporting information.

    Clients

    • Basic understanding of our Clients and what they do.
    • Ensuring costs are accurately recorded within our client job bags.

    Commercial

    • Implementing Exposure payment terms and communicating these to team/suppliers
    • Managing cash flow by sticking to scheduled payment run timetable and keeping ad-hoc payments to a minimum
    • Questioning costs were appropriate to help ensure we get the best value for money for ourselves and our Clients

    • Work with UK finance team

    What Success Looks Like

    • Ensuring creditors are clean with minimal cash balances.
    • Freelancers and Staff Expenses are paid on a timely basis.
    • Nominal invoices are posted within the correct period.
    • Ad-hoc / off-cycle payments kept to a minimum.
    • Queries escalated to appropriate team member.
    • Accurate postings to job and nominal ledgers.

    What a Regular Day Might Look Like:

    The first task of the day would be to log into the UK banking system and check the bank accounts for any payments and post through the cashbook on Paprika. The bank accounts are reconciled on a weekly basis.

    Check emails, review any supplier invoices that have been sent making sure a PO number, Job code or Exposure account manager is quoted.

    Liaise with account managers with regards to missing PO numbers for client related supplier invoices and Finance/HR/IT/Facilities teams for internal admin invoices.

    Run outstanding orders report and check for any expense claims that have been submitted. Check expense receipts to ensure the correct amount has been claimed, the VAT is correct/applicable and that the expense is against the correct job number/nominal code.

    Run an aged creditors report and include invoices on fortnightly payment run list as when due.

    Run missing timesheet report and send a reminder to staff who are missing team to submit.

    Deal with any email queries from suppliers, Exposure team etc within a suitable timeframe and if unsure, speak to a member of the finance team for support/information.

    You'll Likely Need These Specialist Skills

    • Paprika Accounting Software experience (preferred).
    • Proficient in Microsoft Excel.
    • Be able to communicate financial information to creative people.
    • Cheerful, positive attitude when dealing with suppliers and clients.
