    An exciting opportunity has arisen for a Risk System & Governance Administrator to join the Trust. We are keen to invite interest from applicants from within the Trust as well as those from the wider health system.

    The Risk System & Governance Administrator will work as part of the Quality Governance Team and will support the Risk Systems Officer in relation to the Trust Risk Management System - Ulysses Safeguard. The role also includes administrative support to the Inquest and Coronial processes.
    • We are looking for an individual with skills and significant expertise and experience in patient safety and the use of Ulysses Safeguard. The role will require excellent communication and ability to work effectively and cooperatively at all levels, developing relations internally and externally.
    • The role will require an ability to work under pressure, with a methodical approach with effective problem-solving ability and attention to detail and precision. You will enjoy working in a great team and through an agile working approach.

We offer ongoing training and development, plus you will have an annual development plan Main duties of the job The ongoing maintenance of the Ulysses Safeguard system is imperative to the open reporting culture within the organisation, ensuring those staff using the system have the best experience. We are looking for an enthusiastic person, who is highly organised, has excellent written and verbal communication skills, is able to extract and providing data on request. Ensuring good quality data is one of the core functions of the role and a knowledge of risk systems and database maintenance would be beneficial. As most data is provided in Excel, having Advanced knowledge of Microsoft Excel is desirable. Organisation and planning skills will be essential when supporting the Inquest and Coronial processes, with the ability to work effectively and co-operatively when liaising with all levels of staff who are required to provide witness statements and/or reports required. Job description Job responsibilities Governance
    • Organise and contribute to the structure of the monthly team meetings, including identifying themes and trends to be included as well as supporting producing agendas, and taking minutes.
    • Support the Service Lines with information, reviews of data to achieve improvements in practice/service development and to support the evaluation process.
    • Network across the Service Lines to support and respond to patient safety, inquests, and learning.
    • Support and liaise with portfolio leads in the set up and facilitation of Learning Responses, such as After Action Reviews.
    • Support the production of regular patient safety and governance reports as required.
    • Take responsibility for keeping up to date with governance requirements, locally and nationally.
    Patient Safety/Inquest
    • To support the Inquest Lead with the inquest administrative process such as logging new inquests, creating folders and using Ulysses to support data requests such as Witness Statements.
    • Monitor the systems in place to ensure tracking of inquests, outcomes and any action plans to support learning and improvement and report trends to appropriate portfolio leads as required.
    • Provide immediate advice and support to staff in reporting patient safety incidents and accessing reports or data extractions in relation to inquests.
    • To be able to deal with and process sensitive, confidential and sometimes distressing information as required.
    Analysis and Reporting
    • Review and analyse data relating to complaints, patient safety reporting and patient experience.
    • Provide written and verbal reports for the Governance Team and support the response to Freedom of Information Requests (FOIs).
    • Produce performance data information for the groups within the Service Lines that is both qualitative and quantitative in support of clinical governance activity.
    Compliance
    • To support the Compliance Manager at the time of CQC inspections or other compliance activities when appropriate.
    Risk Management System (Ulysses)
    • Support the Risk Systems Officer in the facilitation and delivery of the Ulysses Safeguard system and process.
    • To quality control and support on a daily basis the management of all aspects of the Learning from Patient Safety Events (LFPSE) tasks, such as reviewing data quality, managing errors, uploading and merging Patient Safety Incidents.
    • Review and assess Patient Safety Incidents that require escalation to the Learning and Response Manager.
    • To provide administration and technical support for the maintenance and future development of the Ulysses Safeguard System.
    • To support the Risk Systems Officer in the timely production of ad-hoc reports and to analyse complex data as required, for example: Freedom of Information (FOI) requests.
    • To support the Ulysses Helpdesk function responding to all enquiries within specified timeframes. Prioritising as appropriate.
    • To provide administrative cover and support in times of annual leave and sickness absence to the Quality Governance Team (Patient Experience, Patient Safety, Compliance and other administrative roles). Ensuring that all tasks are prioritised accordingly, such as supporting the PALS telephone line and supporting Compliance/Quality Account activity.
    • To maintain and promote a strict code of confidentiality in all business dealings, maintaining the integrity and security of the Ulysses Safeguard System in line with Trust data quality standards and to behave professionally at all times.
    • To implement and contribute to policy and service development in relation to own area as required.
    • To be responsible for maintaining the Quality Governance inSite pages, including incidents, claims and inquests.
    Person Specification Experience Essential
    • oExperience from direct working with Ulysses Safeguard or equivalent risk management IT system
    • oExperience analysing, developing, and presenting detailed data and reports of a high standard both visual and written reports which will be subject to scrutiny and challenge both internally and externally
    • oExperience working with NRLS/LFPSE coding and configuring an LRMS to report via the NRLS/LFPSE portal
    • oExperience working in a high pressure environment.
    • oExperience of handling highly sensitive information with discretion
    • o Experience of providing helpful and efficient customer service.
    Desirable
    • o Experience of working in the NHS or a public sector environment
    • o Experience of using Ulysses software
    • o Experience of liaising with external software providers
    • o Experience of engaging/liaising with multiple stakeholders of different levels
    • o Experience of delivering training
    Training & Qualifications Essential
    • oEducated to degree level or equivalent in relevant degree subject, such as healthcare or risk.
    • oEvidence of continuing professional development
