    We have afantastic opportunity for an enthusiastic part time OperationsManager to join our friendly practice. We are looking for a positive attitude, goodleadership and organisational skills, and excellent communications skills.

    Main duties of the job

    You will be working closely with the Practice Manager to effectively manage the day to day operations of the practice, to ensure it runs smoothly and efficiently for its diverse patient population.

    Job responsibilities

    Key Responsibilities:

    1. People Management

    Assist with Recruitment of non-clinician teams, retainand train employees within area of responsibility to ensure they are able tofulfill the requirements of their job description and perform to the requiredstandards

    Prepare andmaintain personnel files, gathering necessary data and establishing them onsystems such as payroll, email and EMIS

    Induct all newstaff members who join the team

    To have agreed responsibility for alladministrative staffing issues

    To work with Team Leader with managing all PatientService Administrators and ensure that they clearly understand what is expectedof them

    Participate infeedback and performance review meetings by accompanying the Patient ServiceTeam Leader and/or Practice Manager

    Co-ordinate andfacilitate patient service team meetings to ensure that all teams work closelytogether to achieve excellent standards of patient service

    2. Patient Services & Administration

    Maintainthe appointments system by organising Doctor rotas and holiday planning inorder to ensure sufficient cover at all times to meet agreed availabilitytargets

    Maintain thepractice registration policy and reports on patient turnover and listcapitation

    Research and recommendprocess improvements which will enhance and deliver high standards of patient service

    Produceand maintain practice newsletter ensuring relevant information is communicatedin a timely manner

    Work with thePractice Manager in responding to patient complaints, logging all feedback anddealing with them in an appropriate and supportive manner in line with thepractice complaints protocol

    Implementprotocols & templates in order to ensure we are compliant with requiredstandards

    3. Information Technology

    Implement thepractice IT strategy, liaising with IT and Clinical System support departmentsin order to resolve issues and maximise the use of available technology

    Supportthe development and implementation coding procedures, clinical protocols andtemplates to ensure the practice achieves the appropriate level of QoF points

    Conduct searcheson EMIS and ensure patients are recalled in a timely manner to meet QOF targets

    Maintain the practice telephone systems bymonitoring and reporting on the achievement performance targets

    Set standards andimprovement targets for data entry and data collection to enable the productionof accurate reporting and enhancement of practice income

    Set up new teammembers on all appropriate IT systems, ensuring correct levels ofaccess/permissions are granted and their NHS cards are ready in preparation fortheir start date.

    2. Financial Management

    Manage and monitorsystems for petty cash ensuring that accurate records are maintained andsupporting documentation reconciles with outgoings

    Monitor andreconcile income and expenditure statements, ensuring suppliers are paid andpayments are received in a timely manner

    Assist thePractice Manager with financial and payroll transactions as and when required

    3. General

    4. To provide support to the practice manager in projectwork, and in the running of key systems and procedures such as health &safety and CQC.

    5. To undertake specific assigned tasks, project support,or development / change work which may arise from time to time.

    Adhere to all practicepolicies, procedures and protocols, ensuring compliance with CQC, Health &Safety, Confidentiality, Data Protection and Employment Legislation

    Be flexible duringsickness/holidays of other team members and provide cover as required.
