    Job summary

    Training Systems Administrator, Band 4- Planning & Workforce Information Team

    We are looking for a dynamic self-motivated individual who has a key interest in developing their IT skills in one of the NHS's biggest database - the Electronic Staff Record (ESR) System. This unique role is a development role in our Training Systems Team who are responsible for the Trusts ESR Oracle Learning Management (OLM) system. This is a unique opportunity for the right candidate to join our team at an exciting time when ESR is expanding and changing.

    Main duties of the job

    The post holder will need to be prepared to gain a deep understanding of the National ESR System, and will work closely with the Training Systems Manager to gain high levels of skills. The post holder will have the support of a number of an experienced Team and will be expected on occasions to pull all the stops out in order to meet tight reporting deadlines. The role includes dealing with staff enquiries face to face, on the phone and by email, therefore the post holder will need to have a good customer service ethic.

    Job responsibilities

    The main duties include, but are not limited to -

    -Develop the training records system and related processes to ensure that the system is set up to meet the requirements of GHNHSFT and external assessors (, CQC).

    -Assist and support the Training Systems Team Manager with the administration of the training records system across the Trust.

    Develop and disseminate reports and develop reporting processes to meet the requirement of end users and the Trust and train administrators in the production of routine reports once developed.

    Ensure appraisal completions are entered correctly into the system and deal effectively with appraisal queries

    Develop the automated data entry capability of the team,

    Ensure that data checking processes are implemented as appropriate to maintain the integrity of all data at all times.

    Assist with the production of webpages in relation to training, liaising with Learning Technology and other key stakeholders.

    Assist with keeping webpages up to date ( training activity dates and associated links).

    Through a high degree of understanding of the training records database and related processes give clear explanations, answer complex questions and propose solutions within the constraints of system functionality.

    Provide advice and support to designated users of the system.

    Work cooperatively and collaboratively with all Education and Development staff within GHNHSFT, to ensure all training is visible and records created, providing a cohesive and effective service.

    Qualifications / Education

    Essential

  • Hold appropriate IT certificate or have equivalent experience to undertake the duties required for this role.
  • Experience, Skills and Knowledge

    Essential

  • Understand the concepts of database design and construction.
  • Knowledge and experience of database systems design and administration.
  • Advanced level of competence with a wide range of computer applications including Excel, Access, Word, Outlook and PowerPoint and accurate keyboard skills.
  • Ability to write complex macros, formulas and queries.
  • Able to manipulate large databases through queries, forms, reports and the use of filters and pivot tables.
  • Knowledge of Visual Basic to develop data entry programmes using custom programming language.
  • Able to use own initiative and think creatively to generate ideas and possible solutions and continuously seek to develop the training records system and related processes in the best interests of the Trust.
  • Excellent planning skills and ability to assess and resolve failures of the system to meet agreed standards and deadlines.
  • Excellent communication skills both written and verbal with staff from all professions and at all levels internal and external to the Trust.
  • Highly effective interpersonal skills for working with people at all levels within the organisation. Able to answer complex questions and overcome barriers to understanding.
