Job Purpose:
To provide administrative support to the Engineering department.
Majority of time spent:
Providing a high level of administrative support to the Technical Director and Engineering Manager, organising and monitoring work and maintaining schedule adherence.
Responsibilities:
Populate Microsoft project chart with project dates and milestones taken from design schedules.
Keep project chart up to date. Monitoring variation requests and logging + update schedule
Provide weekly schedule of up and coming milestone dates for each engineer.
Assist in planning work load. Designate live projects, sales support work & other tasks to Engineers to ensure projects and workload are equally distributed.
Compile information from the project chart, engineers and assist in producing the monthly board report.
Liaise with sales department for engineering support requirements & projected incoming projects. Recording which projects allocated to which engineers to prevent duplication. Produce a schedule and keep this live with sales and engineering visibility.
Ensure engineering department procedures & processes are being implemented correctly.
Assist in integrating new team members into the department in a structured manner
Arrange travel/accommodation as required for the department.
Assist in monitoring department cover during holiday requests etc.
Timesheets logging into database.
Complete weekly whereabouts tables
Technical/Professional Knowledge and Skills:
Strong IT skills – including Word, Project, Excel and Microsoft Office.
Strong minute taking and typing skills.
Personal Attributes/Skills:
Excellent interpersonal skills – able to build relationships at all levels, internally and externally.
Assertive and able to drive scheduled work through the department.
Excellent communication skills – face to face and over the telephone.

A minimum 3 years experience of working in a demanding Administrative role in a fast moving environment.
A minimum 'A' Level standard of education or equivalent qualifications.

~ Experience of working in a commercial engineering or industrial environment.
