    Job Description Zodiac Maritime is an international ship operating company providing a full range of management services for a wide and diverse fleet of commercial ships, spanning containership to tankers, bulk carriers to PCTCs, and a growing orderbook focused on dual-fuel vessels to improve overall fleet energy efficiency.

    Headquartered in London's bustling West End, our modern, open-plan offices accommodate a growing team of over 200 people.

    With representative offices across Europe and Asia, our shore-based headcount grows as our fleet continues to expand and diversify, as does our dedicated crew of over 6,500 seafarers.

    Reporting to:
    Head of Vetting & Marine Assurance


    Contract type:
    Permanent

    Working under the guidance and supervision of the Head of Vetting and Marine Assurance you will be responsible for providing administrative support to the Vetting Department.

    Coordinating the compliance of the Tanker and Bulk Carrier fleets, in line with the commercial vetting and compliance requirements.

    Organise SIRE and CDI inspections for the tankers and, RightShip inspections for the bulk carriers in accordance with the inspection plan.

    Submitting Service/Repair orders to Oil Majors/RightShip/3rd party vetting contractors.

    Coordinate with local agents, vessels, inspectors, and superintendents to ensure planned inspection can be completed in a cost-effective way.

    Update and maintain office records with Vetting Reports, Ship inspection and Port State Control data.

    Download Superintendent's Oceanfile reports for Tanker Fleet and pass them on to the relevant assistant for filing and circulation.

    Oil majors / RightShip approval message to be filled and maintained in SharePoint.
    Keep OCIMF, RightShip, Q88 and CDI databases updated with vessel information.
    Prepare the KPI data for vetting and PSC inspections for the respective fleets.
    Analyse data and prepare reports, graphs, trends etc.
    Shipping related degree or equivalent.
    Previous office / administration experience within a ship management company.
    Well developed numerical, analytical and report writing skills.
    Advanced knowledge of Microsoft Office; Word, Excel and PowerPoint and open to learning other data software package skills.
    Strong focus on delivering quality and meeting deadlines.
