    Job summary

    Anexciting opportunity has arisen for an experienced secretary/ administrator tojoin our friendly and professional team as a part-time Senior MedicalSecretary, working 30 hours per week, within the Respiratory Department. Thesuccessful candidate will ideally have previous secretarial experience and possessexcellent verbal and written communication skills, to work alongside theexisting secretarial team.

    Wewould like to hear from highly motivated and flexible team players withexcellent organisational and communication skills. The ability to work underpressure and effectively prioritise your own workload is essential. We arelooking for a candidate with high standards and an eye for detail. You musthave the ability to multitask and work in a busy, ever-changing environment.You will be able to work on your own initiative as well as within a team, withwell-developed communication and interpersonal skills.

    Main duties of the job

    The role will includeresponsibility for Consultant and junior doctor diary management, typing ofoutpatient appointment letters and other correspondence to GPs and otherclinical professionals, dealing with enquiries from clinicians, GPs, otherhospitals, patients and their relatives, updating medical records and inputtingdata to support the attainment of Divisional targets. In addition, the postholder will be required to support the Directorate Management Team with thetracking and validation of patient pathways to achieve the National 18 weekReferral to Treatment (RTT) target.

    Job description

    Job responsibilities

    Toundertake medical audio / copy typing duties including outpatient appointmentand results letters to GPs, discharge summaries and other official medicalcorrespondence.

    Takeenquiries from clinicians, GPs, health services, patients and their relatives

    Toaccept telephone and email enquiries from clinicians, GPs, health service andsocial services personnel as well as from other hospitals, voluntary agencies,patients and their relatives.

    Towork using own initiative with minimal supervision, prioritising own workloadin line with the objectives of the department and consultant teams.

    Todeal with all incoming correspondence by phone, post and e-mail in an efficientand effective way.

    Toliaise with the other members of the secretarial/ administration team in orderto provide a coordinated and efficient secretarial service.

    Toliaise with patients, relatives and staff demonstrating sensitivity andmaintaining professionalism at all times; escalating any complaints, problemsor issues to clinicians or management as appropriate.

    Toensure confidentiality is maintained at all times complying with the DataProtection Act, Information Governance and other Trust /departmental policies.

    Toassist in providing cover for the secretaries in the Medicine Directorate toensure continuity of service to consultant, medical staff, service users andpatients.

    Toundertake any other the duties as may be required/ appropriate by theDirectorate Management Team.

  • GCSE English & Maths
  • Recognised word processing / typing qualification
  • AMSPAR
  • Experience

    Essential

  • Proven secretarial experience in healthcare environment.
  • Experience of working in a busy office
  • Desirable

  • NHS experience.
  • Use of OASIS PAS system, Bluespier, EZ notes and Digital Dictation
  • Skills / Knowledge

    Essential

  • Audio typing using Digital Dictation
  • In-depth working knowledge of Microsoft Office
  • Desirable

  • Knowledge of NHS systems
